JOB SUMMARY The Plant Operations Administrative Assistant/Office Manager works directly with the Director of Plant Operations and is responsible for assisting with the provision of Plant Operations services, policies and programs, and general office operations. ESSENTIAL FUNCTIONS OF HR ADMINISTRATIVE ASSISTANT Complete data entry/clerical input as needed. Assist with billing coding and processes. Responsible for helping with daily Plant operations. Communicate comfortably with Team Members, and visitors in a professional and pleasant manner in person and over the phone. Scheduling appointments Answer and direct incoming calls Welcome Team Members and management team, assist them appropriately Perform other administrative or clerical duties such as filing, photocopying, and collating as needed . File all paperwork received to the appropriate employee folder in a timely manner. Perform other related functions as required or as assigned. PLANT OPERATIONS ADMINISTRATIVE ASSISTSANT/OFFICE MANAGER QUALIFICATIONS Experience Must have a minimum of 3 years of general office administrative experience in a professional business environment. Must be proficient in Microsoft Word, Excel, and email Must have knowledge of basic Plant Operations functions A minimum of 2 years of Plant Operations experience is preferred Education/Certifications/Licenses High school diploma or an equivalent combination of education, training, and experience is required Skills and Abilities Ability to learn new software programs quickly Strong written and verbal communication skills Solid problem solving and decision making skills Strong interpersonal skills and understanding of exceptional customer service Strong verbal communication skills to effectively address issues and concerns with diverse populations while showing empathy and compassion Ability to effectively interact with a diverse leadership team, staff, residents, and third-party associates, including vendors, providers, and visitors Ability to effectively manage sensitive and confidential communications and information, while maintaining a high level of poise, tact, and diplomacy Must be able to handle multiple priorities timely amidst frequent distractions and interruptions.
