POSITION: Home Office Receptionist
REPORTS TO: Home Office Operations Manager
POSITION TYPE: 12-month
START DATE: Immediate
COMPENSATION: $19.84 - $23.32/hr.

THE OPPORTUNITY
THE ROLE
- Filtering and distributing receptionist e-mail account, office mail, and faxes;
- Managing visitor logs and emergency drill reports;
- Managing vendor accounts and serving as point of contact for request;
- Coordinating maintenance and service request as needed;
- Organizing meeting times and set ups in our Home Office conference space;
- Greeting and assisting all incoming visitors;
- Implementing standards, policies, and procedures for filing, records maintenance, and other clerical services;
- Maintaining an appealing physical environment including reception area, storage rooms, conference rooms, work rooms, and other rooms as requested;
- Maintaining and administering the telephone system by answering and processing all incoming calls in an efficient and rapid manner; being solutions oriented in managing telephone system;
- Organizing weekly food trucks;
- Managing daily administrative operations including establishing work priorities, and resolving problems related to day-to-day operations of the office;
- Serving as a technical support and project coordinator for small projects as required;
- Administering COVID-19 tests;
- Maintaining office security: administration of security passes and I.D. badges provided to all employees and guests, as well as updating Raptor records for the district;
- Helping manage and facilitate Main Office procedures such as supply requests, copy requests, mail requests, and other requests as needed;
- Creating and posting materials within the office;
- Creating monthly calendars;
- Providing support for staff as requested;
- Planning and timely execution of a variety of Home Office projects;
- Additional duties as assigned.
THE PERSON
- Excellent records maintenance skills
- Bilingual in Spanish
- Ability to maintain the highest level of confidentiality
- Excellent organizational skills including time management and follow-up
- Experience working as receptionist or in administrative role
- Ability to work outside of normal hours and on weekends
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, etc.), especially word processing including exemplary spelling and grammar skills
- Strong problem-solving, multi-tasking, and prioritization skills
- High-levels of customer service
- Openness to giving and receiving frequent feedback
- Ability to maintain emotional control under stress
- Belief in and commitment to the mission and core values of YES Prep Public Schools
- A dedication to learn, grow, and develop as a professional
- Creates and maintains positive working relationships on a team and/or in a highly collaborative environment
- Ability to work urgently in a fast-paced and results-oriented environment

- Associate’s Degree (1-2 years of college experience)

THE PERKS
- Compensation – This is a non-exempt, hourly position; offers commensurate with experience.
- Health and Supplemental Insurance – A $0 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
