Boeing South Carolina is currently seeking an experienced Executive Office Administrator to support the Vice President of Total Quality for BCA Airplane Programs, Quality Engineering and Quality BPS Directors and Managers within the BCA Total Quality organization. This position will be located in North Charleston, South Carolina.
The selected candidate will demonstrate phenomenal working relationships at all levels, with collaboration, communication and people skills. Has experience supporting executives, be proactive, demonstrate a robust attention to detail and an ability to prioritize efficiently and effectively. The candidate will also have the ability to quickly familiarize with new issue areas as well as the ability to shift from supporting work in one issue to the next.
Position Responsibilities:
- Verbally communicates a wide variety of information to multiple audiences
- Works under minimal supervision
- Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources
- Creates, edits and maintains electronic and written communication
- Orders and maintains office supplies
- Provides guidance to less experienced employees
- Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information
- Collects and compiles data to provide visibility of status for traveler's review and/or signature
- Plans and implements logistics for senior executive level internal events
- Coordinates cross-functional engagements, both external and internal to the company
- Tracks and maintains designated conference room schedules for availability and efficient use of resources
- Coordinates internal communication for site-wide or organization-wide activities
- Prioritizes and schedules management-level employee time and availability for efficient use of time
- Coordinates and processes manager and executive domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
This position is hybrid. The selected candidate will be required to perform at least 4 days a week onsite in North Charleston, SC. This is at the hiring team’s discretion and could potentially change in the future.
This position must meet export control compliance requirements. To meet export control compliance requirements, a “U.S. Person” as defined by 22 C.F.R. §120.15 is required. “U.S. Person” includes U.S. Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills/Experience):
- 1+ years of experience coordinating and processing business travel arrangements using Concur or a similar travel and expense management program; generating expense reports for business travel and reconciling corporate credit card charges to ensure timely and accurate reimbursement
- 3+ years of experience with the handling and safeguarding of proprietary and confidential information, including personal identifiable information
- 3+ years of experience supporting and engaging with executives and their leadership teams to coordinate priority needs, support internal and external events, and provide effective travel arrangements
- 10 + years of experience and proficiency in Excel, Word, Outlook and PowerPoint and the ability to learn in house systems
- 3+ years of experience working within a fast-paced team environment, which required strong communication skills to frequently interact with Leadership or internal and external customer representatives
- 5+ years of experience as an Office Administrator supporting an Executive Leader
Preferred Qualifications (Required Skills and Experience):
- Experience handling classified information and protocols
- Demonstrated ability to learn and adapt to new concept/ideas quickly and navigate within a complex organization
- Experience administering user system access and establishing safeguards to protect information to meet network security requirements
Typical Education / Experience:
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years' related work, Bachelor+2 years' related work, etc.).
Relocation:
