Core Description: Provide professional and friendly service to support office administrative functions and processes. This position covers a wide area of responsibility and interacts daily with nearly all levels of Associates within the Organization.


The Office Administrator


  • Greet visitors and maintains visitor logs.
  • Performs various routine and defined clerical tasks and inputs data into tracking database or system.
  • Ensures that travel needs are met within the constraints of the company travel budget.
  • Responsible for performing company database or system administration tasks.
  • Monitors inventory and places orders for office equipment, supplies, field equipment, or provisions, within approved budgets.
  • Communicates travel plans and itineraries, and answers questions about travel policies and processes.
  • Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions.
  • Processes incoming and outgoing mail and shipments.
  • Assists with routine travel arrangements. Research hotel, flight, and car rental availability confirms reservations, and make itinerary changes as necessary.
  • Other duties as assigned
  • Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, and other events or projects with internal and external stakeholders
  • Retrieves documents or responds to requests for information from internal or external customers by phone or e-mail.
  • Route phone calls to appropriate parties.

Requirements


  • Computer literate – especially Microsoft Word, Excel, Outlook
  • Able to pass a background check/drug test/driving record check
  • Professional demeanor-positive communication, team skills/cross-functional cooperation
  • Dependable transportation and valid driver’s license and insurance
  • Available to work in the office daily
  • Requires 0-1 year of general work experience in an administrative support role
  • Available during the standard business hours of Monday – Friday from 8 AM – 5 PM Eastern
  • Education Requirements – High School Diploma or equivalent.
  • Authorized to work in the United States


Physical Requirements


  • Must have the physical ability to perform activities such as preparing and analyzing data and figures, transcribing notes, and viewing a computer terminal; these activities require close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Must be able to endure frequent, lengthy periods of sedentary work and sit for prolonged periods of time.
  • Must have the physical ability to express or exchange ideas by means of the spoken word and convey detailed or important spoken instructions to other workers accurately, often in a group setting.
  • Must be able to utilize a computer keyboard, computer monitor, and telephone for prolonged periods of time.
