Position Summary:


Humanity United is seeking an experienced Executive Associate to partner with the Managing Director, Forced Labor & Human Trafficking (FLHT). This role will operate as a true, hands-on thought partner and will be instrumental to the Managing Director’s success.


As well as being responsible for the Managing Director’s calendar, travel and expense reports, the Executive Associate will also be a key advisor to the Managing Director to help them execute on their key priorities, and balance workload and information flow. This position will also manage a variety of projects, help support the team’s operating rhythm and help the team to engage in org-wide processes. This role will also serve as a key liaison and conduit with Executive Associates, FLHT and Operations team members, and other staff across the organization.


The successful candidate will not only bring extensive experience supporting senior executives but will also have a track record in project management, experience with & fluency in Diversity, Equity, Inclusion & Justice (DEIJ), exceptional relationship building and collaboration skills, and outstanding attention to detail.


This is an 18-month fixed-term, full-time, exempt position reporting to the Managing Director, FLHT. A San Francisco or other West Coast location is preferred but not required. The successful candidate should be able to work Pacific Time business hours on a regular basis. Our hybrid work approach provides ongoing flexibility for regular remote work for this position, combined with periodic in-person gatherings.


Core Job Responsibilities:


  • Assist with expense reports and travel for Managing Director
  • Support and balance the Managing Director’s workload and support them to have the space to focus on their key priorities, by managing information flow, triaging essential vs non-essential commitments, resolving issues, prioritizing, and providing analysis and advice on key issues across the FLHT team. Act as a thought partner to the MD in general.
  • Manage calendar and schedule for Managing Director, FLHT
  • Assist with grants management administration (e.g. data entry, deadline monitoring, learning grantmaking policies and processes, etc.)
  • Manage invoice, contract, and purchase order processing as requested by Managing Director


Project Management
  • Tracking and documenting FLHT team progress against DEIJ commitments.
  • In partnership with the Managing Director, manage and coordinate other projects as needed to support the team’s work.
  • Manage the production of reports and meeting materials related to Managing Director’s scope of work. Specific examples may include:
  • Design of meeting agendas, minutes and action item follow-ups
  • Tracking grants provided as part of a specific source of funding
  • Searching partner organization profiles and key leaders ahead of meetings


FLHT Team Meetings & Operating Rhythm
  • Meeting scheduling and planning
  • Coordinate annual retreats and convenings for FLHT Team, including leading on event design, coordinating/contributing to event content, and managing the successful delivery of each event.
  • Managing calendar invites for various types of meetings Design of meeting agendas and preparation and gathering of supporting documents and identifying facilitators
  • Help support the operating rhythm of the FLHT team, in coordination with FLHT and Strategy, Learning & Impact team members. This will include:
  • Support the operational aspects of convening the team’s advisory group (e.g., travel, accommodation, meals)
  • Capturing next steps and ensuring follow-up on action items.


FLHT Team Coordination


  • Work efficiently within the FLHT team to build effective processes, help develop a collaborative and transparent team culture and support effective decision-making processes.
  • Coordinate and communicate FLHT Team participation in org-wide processes including annual planning, budgeting and performance reviews, in partnership with the MD, FLHT and FLHT team members.
  • Support the MD in onboarding new team members within FLHT


Org-Wide Collaboration


  • Help build and manage a list of donor partners
  • Serve as a key liaison with the HU Operations team, helping the FLHT team to manage HU-wide processes, e.g. how to infuse HU’s organizational strategy into FLHT’s work, contribution to DEIJ Action Team, engagement with Super Users grantmaking working group.
  • Build strong relationships across the organization to ensure effective collaboration and proactive communication between FLHT and other teams across HU (e.g., budget reconciliation, expense coding, tracking of travel allocations and professional development budget)


Perform Other Responsibilities, As Necessary And/or Assigned


Knowledge, Skills and Abilities:


Must-have requirements:


  • Exceptional attention to detail, and ability to track, execute and manage multiple work streams.
  • The right to work in the United States
  • Extensive experience in project management, including managing stakeholders, timelines, deliverables and coordinating multiple streams of work
  • Ability to work cross-functionally and collaboratively to quickly earn trust and credibility with staff, stakeholders and Executive Associate peers.
  • High degree of comfort with change and ambiguity, and ability to balance multiple changing priorities and make judgements about what is urgent vs important.
  • Excellent written and verbal communication skills
  • Familiarity and fluency with the principles of DEIJ, with a perspective on how to apply and advance this work in Operations and executive support.
  • Extensive, progressively more responsible experience supporting senior executives and operating as a thought partner. Must include a track record of building successful partnerships with deep rapport & trust.
  • Commitment to HU’s , including DEIJ, is a must.
  • Must be a creative and proactive self-starter, with a willingness to work on both routine administrative tasks and higher-order projects


It’s a bonus if you bring:


  • Experience working with a remote, hybrid or distributed team
  • Prior work in a non-profit or philanthropic environment is highly desirable
  • Advanced knowledge of, or the ability to learn, Apple and Microsoft Office applications and videoconferencing technology
  • Direct lived experience of the issues we work on.
  • Experience working on projects or in organizations with networks and international aspects, including fundraising experience
  • Experience planning and designing meetings, retreats and events

Salary: The salary range for this position will vary by location, to account for local job market & cost of living. Starting salaries are typically within the lower half of the range and are based on skills, experience & background. Example ranges are provided below, with other locations available on request:


  • New York - $102,172 - $119,200
  • Chicago, Denver/Boulder, Philadelphia - $91,433 - $106,672
  • San Francisco - $107,592 - $125,524
  • Washington DC/Boston/Seattle/LA - $96,853 - $112,995
