Purpose

~ Manage all aspects of administrative tasks for HR Leadership team.

~ Coordinate the daily affairs for the HR Leadership team to meet the diverse requirements of the division and company.

~ Coordinate executive calendars, travel, meetings, conference calls, written communications, correspondence, and other project-oriented tasks.

~ Work independently, innovatively, and efficiently in a fast-paced environment, handling multiple responsibilities and meeting multiple deadlines.

~ Maintain a positive attitude with all interactions.

Major Responsibilities

~ Provide administrative support and front-line customer service to assist in administering specific programs, following up as needed, and coordinating with members of the HR team for divisional tasks/projects.

~ Manage the HR Directory and team calendar.

~ Assist HR Leadership with expense report submission.

~ Coordinate travel arrangements with corporate travel agency.

~ Proactively monitor and analyze division budget spending and assist division with accruals and budget schedules.

~ Review files/materials for accuracy and consistency.

~ Prepare and/or assist in preparation of weekly executive summary reports and presentations as required by management.

Major Responsibilities (continued)

~ Coordinate and schedule meetings internally and/or with clients, vendors, or partners.

~ Assist in researching and analyzing division-related information.

~ Provide administrative support for division managers and team members.

~ Serve as Department Ambassador, acting as liaison for all employee transfer/hiring processes and other duties as assigned.

~ Manage internal/external correspondence, maintaining confidentiality of sensitive information.

~ Any other tasks and responsibilities, not limited to the above, as assigned by the division head.

Authority

~ This role is responsible for organizing and coordinating all aspects of the HR division’s work environment. Though there is no formal authority associated with the position, each decision made must be based on knowledge and understanding of what needs to be done to bring a project to closure in a professional, successful, and timely manner.

Education

~ Must be a high school graduate
~ Bachelor’s degree preferred

Related Experience

~ Two to four years of experience, preferably one plus years working with higher management level.

~ Exceptional organizational and problem-solving skills.

~ Able to learn and retain new concepts and technology quickly.

~ Strong judgment and discretion to work with extremely confidential information.
