We are seeking an experienced Executive Assistant to provide strategic support to the Founder of an established hedge fund based in New York, NY. This role will ensure smooth day-to-day operations of the organization as it relates to the Founder. The primary responsibility is to be a thought partner to the Founder and focus on integrating his professional and personal life seamlessly. The successful candidate will do this by understanding the long-term strategic goals of the firm as well as his personal/philanthropic life and setting short-term priorities and time allocation to accomplish these goals. They will be responsible for accessing and coordinating resources, prioritizing his time and fully managing correspondence on his behalf, including handling of all emails. A secondary responsibility will be back up and partner to the Founder’s personal assistant, as needed.
Requirements:
- Able to establish and build partnerships at the senior management level, with both internal and external stakeholders
- Exercises an exceptional level of integrity around confidentiality, discretion, and trustworthiness at all times
- Strong initiative and ownership of responsibilities – must demonstrate a proactive, positive approach toward task execution
- A persistent, uncompromising orientation around client service
- Bachelor’s Degree
- Extensive knowledge of Microsoft Outlook and proficient in Excel, Word, and PowerPoint
- Extremely organized and detail-oriented, with an unwavering commitment to accuracy
- Superb written and verbal communication skills
- 5+ years of experience as an executive assistant within financial services, preferably at a hedge fund, alternative investment firm, or similar where you have supported a Founder or high-level executive
- Must be in NYC or within commutable distance
Responsibilities:
- Leads on email/inbox management for the Founder, in collaboration with the Personal Assistant (PA)
- Coordinates closely with Founder’s Personal Assistant on all of Founder’s priorities
- Leads initial correspondence with all external and internal stakeholders who are requesting time on Founder’s calendar- to coordinate timing, location and details to ensure seamless execution of the Founder’s priorities and operational activities
- Accurately communicates and actions calendar changes with the Management team, and professionals across the firm, to ensure all appropriate individuals are updated with the latest pertinent information
- Articulating current priorities, and answers to Founder’s questions
- Succinctly, visually depicting a systematic view to Founder of upside and risks associated with recommended calendar options
- Sets the example for professionalism and being a team player by building strong relationships across the team and the company
- Operates as the first point of contact for internal team members, external constituents and employees for all scheduling matters
- Leads nightly team calls alongside the Executive team to review the schedule for the following day, as well as review all open items
- Confirm the appropriate people are included in all meetings
- Partners with the Personal Assistant on trip logistics and domestic/property management matters
- Ensure Founder’s schedule aligns with firm strategic priorities
- Ensure materials are prepared in advance for all meetings if required
- Has shared accountability for ‘on call’ availability over the weekend to answer the Founder’s questions via text or phone call
- Exercises consistent communication with the Executive team regarding updates, prioritization and execution on all scheduling matters
- Leads daily/weekly calendar reviews with the Founder which consist of:
- Works closely with key stakeholders to:
- Making factual, hypothesis-driven calendaring recommendations to Founder
- Accountable for end-to-end creation, quality control, and execution of Founder’s calendar and providing relevant context and background materials to support a real-time scheduling decision by Founder
- Leads the prioritization of the Founder’s life including:
Schedule: Business hours (with flexibility and 24/7 mentality as needed)
Compensation: Up to $250k all in DOE depending on experience | Full benefits package
