About the position:
You will perform a variety of diverse and confidential clerical and administrative duties and related projects. You will support members of the executive staff and their departments. You will handle a variety of issues that vary in complexity.
- Assist department with purchasing office supplies, paying invoices and software purchases.
- Reports directly to the Chief Executive Officer.
- This position is based out of our corporate office in Greene, NY.
- Work with airlines to maintain corporate contracts and review meetings.
- Handle sensitive information in a professional, confidential manner.
- Responsible for the coordination, scheduling and communication of the corporate plane, maintaining policies, procedures and flight sheets. Processing flight sheets for accounting and audit purposes.
- Handle special administrative projects such as business proposals, preparation and maintenance of department budgets and weekly reports.
- Create and complete travel and expense reports.
- Monitor monthly and weekly travel agency reports and communicate with company travel coordinators.
- Compile and distribute monthly status reports to parent company.
- Develop and prepare visual aids such as charts and graphs for presentation at high level meetings that may involve outside companies.
- Work with procurement to obtain corporate hotel rates and rental car agreements.
- Coordinate travel for department personnel.
- Candidate will be expected to work independently with little supervision.
- Assist with departmental budgets with numerous annual updates.
- This position is office based and does not qualify for remote work.
- Outstanding competencies including: consulting, ethics and integrity, business acumen, flexibility, highly organized, solutions orientation and relationship management.
- Maintain several conference room calendars and corporate plane schedule.
- Establish and maintain a variety of files and records.
- Coordination of large meetings, both off-site and on-site, including international visitors.
About you:
- Must have strong analytical skills.
- Effectively communicates across multiple levels from associate to executive.
- Must be proficient in Microsoft Office Suite.
- 6+ years of Senior Assistant or Executive Assistant experience.
- Must be able to multitask and prioritize to meet deadlines.
It would be great if you had:
- Experience with Ariba or other invoice systems is preferred.
- Experience working with Concur or other travel booking/expense reporting systems is preferred.
- A bachelor’s degree in a related field is preferred
About the total compensation package:
Salary - The annual rate for this position is $66,000 – $85,000 per year. Compensation will be based on the combination of the candidate’s experience and education.
