Job Title: Executive Assistant to the CEO
Location: Great Falls, VA
Duration: Long Term
Overview:
The ideal Executive Assistant candidate will be someone with an undergraduate degree or a recent graduate and or experience of minimum 5 years. In addition, the candidate should be a team player, very flexible, willing to take direction and learn. Detail and customer service- oriented within deadline-driven environments, and communicate solutions effectively to his/her teams, including Corporate, and Operations. Works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Includes responsibility for executive office management as appropriate.
Responsibilities:
- Develops, implements and administers departmental office systems and procedures. Establishes office procedures, policies and operations. Interprets and communicates policies and processes.
- Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications. Uses Internet may include web maintenance and design.
- Manages complex calendars, arranges for meetings, appointments, and travel arrangements.
- Commute within Rockville, MD and Great Falls, VA office as needed.
- May prepare spreadsheets to track and maintaining expenditures and reconciling accounts.
- Provides wide ranges of support including editing memo’s, reports, meeting documents/materials and presentation.
- Proficient in Microsoft Office Suite, including Outlook. Ability to use social media, such as Facebook, Twitter, Instagram and LinkedIn. Update news media and public relations policies annually.
- Create agendas as needed, attend meetings, record minutes.
- Administrative reporting.
- Support with corporate communications, branding and promoting.
- Serves as principal administrative contact and liaison for external contacts.
- Function in an adaptive, responsive manner to a wide variety of challenging business scenarios, utilizing strong critical thinking skills.
- Handle sensitive and confidential data to be disseminated to appropriate recipients, scanned, filed or properly disposed off.
- Support planning and coordination of meetings including associated logistics such as arranging attendance, set-up with food, technology needs based on remote or virtual meeting locations.
