The *** Company’s Law Department is seeking a Legal Executive Assistant to join their diverse team. This person will support a Vice President as well as other attorneys/executives within the Law and Global Compliance team, and provide administrative support in a variety of legal practice areas. This position is based in ***’s new corporate headquarters in Arlington, Virginia (Long Bridge).
A successful candidate will have demonstrated experience working under limited supervision and performing multiple work assignments concurrently, often within a short period of time, while maintaining accuracy and attention to detail. The individual will also work well with others, clearly communicating requirements, expectations, and deadlines, and asking questions to acquire and share relevant information.
Position Responsibilities:
• Support all aspects of your attorneys’ daily work routine
• Understand and adapt to their unique priorities, working habits and preferences
• Serve as a liaison and point of contact between your attorneys and their internal and external clients, outside counsel, and government officials and agencies, as needed
• Monitor the status of pending items, and keep your attorneys advised of time-sensitive issues and emergent matters Coordinate and manage your attorneys’ calendars. Accurately schedule meetings, conference calls and video conferences across multiple time zones
• Assist in the development, preparation, proofreading, revision and distribution of meeting agendas and materials, presentations, legal documents, financial spreadsheets, tables, charts, reports, and routine correspondence
• Maintain paper and electronic filing systems using accepted legal office practices and the company’s record keeping systems and procedures
• Follow *** policies and procedures, and use industry accepted security practices when handling sensitive and confidential information and communications
• Schedule and coordinate domestic and international travel; regularly monitor all logistical aspects of the trips; revise meeting agendas, tour schedules and travel itineraries, as needed; communicate changes to all involved parties in a timely fashion
• Prepare, reconcile and submit expense reports using Concur to ensure timely and accurate payment and/or reimbursement Use ***’s internal legal matter management system to create, monitor and manage legal matters; process invoices and generate reports, as needed
• Know and abide by ***’s policies and procedures at all times.
• Register, process and escort domestic and foreign visitors Receive, sort, prioritize and accurately distribute mail in a timely fashion; handle all sensitive and confidential information with discretion and proper safeguards
• Coordinate work with other Law & Global Compliance staff members; provide backup support for their attorneys/executives, as needed
• Assist with the onboarding of new attorneys, and with the training and onboarding of new support staff members
• Order and maintain office supplies using ***’s approved system, and in accordance with ***’s policies and procedures
• Take on various other work and responsibilities, as needed

This position is hybrid. This means that the selected candidate will be required to perform some work onsite at one of the listed location options. This is at the hiring team’s discretion and could potentially change in the future.
The position must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R. § 120.15 is required. “US Person” includes US Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills/Experience):
• 3+ years of experience with managing and organizing multiple deliverables and deadlines with minimal direction 5+ years of experience in a previous role where meticulous attention to detail, with emphasis on accuracy and quality was paramount.
• 5+ years of experience in the handling and the safeguarding of proprietary and confidential information
• 5+ years of experience with Microsoft office suite
Preferred Qualifications (Desired Skills/Experience):
• Associates degree or higher
• 3+ years of experience providing administrative support to multiple executives
• 3+ years of experience in heavy schedule management and/or travel planning
• Experience with international travel planning
