Join us as an ES Manager - Event Planning!
The ES Manager – Event Planning will be responsible for the management and for driving the global strategic direction of Event Planning within Enterprise Services. The ES Manager – Event Planning will oversee experienced industry professionals across multiple offices with the ability to manage administration and logistics in a busy meetings and event environment. The incumbent must be able to anticipate project needs, prioritize work, meet deadlines with little supervision, and be willing to work evenings and weekends as necessary. The ES Manager – Event Planning provides outstanding client service, is an enthusiastic professional and is able to build relationships with internal and external clients and vendors.
RESPONSIBILITIES
Productivity & Management & Process Improvement
  • Develop and maintain relevant management reporting on all Event Planning vendors.
  • Build rapport with key line of business managers to drive the team’s role toward a value add service.
  • Review and enhance procedures to increase efficiency of the event planning process and minimize wasted time.
  • Review the workflow schedules as they correspond to staff coverage and overtime requests.
  • Enhance procedures to include service level agreements for the various tasks associated with the team’s activities.
  • Identify technology tools to assist in the delivery, control, and reporting of event services. Develop business cases for the procurement and implementation of said tools.
  • Drive continuous process improvements on the product output of the Event Planning
Event Planning & Production
  • Negotiates space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.).
  • Gather information on each project to achieve quality event productions.
  • Drives innovation and technology advancements that make the team more efficient and productive in their daily tasks;
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
  • Propose new ideas to improve the Global event planning and implementation process
  • Close out all events as required.
  • Serve as liaison with vendors on event-related matters.
  • Manages on-site production and clean up for events as necessary.
  • Create and revise room layouts for each event.
Event Administration
  • Assist with preparing budgets and provide periodic progress reports to clients for each project.
  • Prepare and modify event contracts as requested
  • Keep track of event finances, including invoicing and monthly management reporting.
Client Service
  • Review client inquiries for professional and expedient processing by the team.
  • Lead staff by setting high standards, providing a thoughtful approach, having a committed attitude, and by being an effective representative of the division.
People
  • Conduct regular scheduled meetings with the team for delegation of tasks, follow-up and staff development.
  • Develop employees by providing training, mentoring, performance management, succession planning as well as appropriately challenging assignments and assistance with career planning. This includes accountability for partnering with HR on recruiting, hiring and orientation.
  • Administer Performance Appraisals for direct reports.
  • Cultivate staff relationship across all Enterprise Services locations.
Education level and/or relevant experience(s)
  • 5+ years Event Planning experience required
  • 5+ years experience managing a team of professionals
  • BS Degree or the equivalent required
  • 8+ years relevant experience
Knowledge and skills (general and technical)
  • Excellent communication skills; including written and verbal and proofreading skills
  • Excellent client services skills
  • Team player but also able to work independently with little supervision
  • Negotiating skills
  • Strong interpersonal skills both in person and over the phone with the highest level of professionalism
  • Ability to multi-task; managing multiple projects and work assignments, all with great attention to detail
  • Proficient PC skills (Word, Excel, PowerPoint, Access, Mail Merge, Email & Internet Research)
Other requirements (licenses, certifications, specialized training, physical or mental abilities required)
  • Available to work overtime when necessary

BBH’s compensation program includes base salary, discretionary bonuses, and profit-sharing. The anticipated base salary range for this role is $100,000 to $130,000, which is specific to New York, NY and may differ in other locations due to cost of living and labor considerations. Base salaries may vary based on factors such as skill, experience and qualification for the role. Salary Range
BBH’s compensation program includes base salary, discretionary bonuses, and profit-sharing. The anticipated base salary range shown above is only for the New York City and/or Jersey City location(s) and may differ in other locations due to cost of living and labor considerations.
