DEPARTMENT: Development
POSITION: Development Operations Coordinator
REPORTS TO: Associate Director of Development
WORK SCHEDULE: Monday-Friday, 40 hours per week, 8 hours per day. Occasional evenings and weekends required.
CLASSIFICATION: Full-time, non-exempt; benefits eligible after 90 days.
COMPENSATION: $50,000 - $54,000; DOE
Berkeley Repertory Theatre (Berkeley Rep), established in 1968, is one of the nation’s prominent theatrical institutions with a long, proud history of developing Broadway-bound productions such as Green Day’sAmerican IdiotandAin’t Too Proud—The Life and Times of the Temptationsalong with high caliber artists and comedians like Mike Birbiglia, John Leguizamo, and social commentator Fran Lebowitz. On and off the stage, Berkeley Rep is committed to arts education, community engagement, and values of innovation, equity, and sustainability.
Berkeley Rep is seeking a motivated, detail-oriented, and highly organized development operations coordinator to support the operations of a busy fund development department. The ideal candidate is a creative problem solver and project manager who loves systems, data, and supporting the arts.
Essential Duties and Responsibilities
Gift Processing and Acknowledgments:
- Efficiently and accurately track donations and patron data using Tessitura customer relationship management software.
- Produce written donor acknowledgements in a timely manner.
- Assist with special events-related data entry and acknowledgements.
- Track and produce monthly pledge reminder letters and charge ongoing pledge payments.
Reporting and Analysis:
- Regularly partner with the finance department to perform financial reconciliations.
- Provide ongoing financial reporting and analysis.
- Support the development department’s reporting and analysis needs, including but not limited to generating reports and pulling lists for events and mailings.
Data Management:
- Ensure efficient fundraising operations using Tessitura CRM software and other tools, including streamlined and accurate gift processing, gift acknowledgments, and donor/funder recognition.
- Maintain donor and gift data integrity, including regular data management and clean-up.
Training and Documentation:
- Train development staff on most current operational systems, processes, and protocols, particularly in efficient gift processing and reporting.
- Update and maintain development operations documentation.
General Administrative and Event Support:
- Handle department filing and office supply ordering.
- Assist with Berkeley Rep’s annual fundraising gala and donor events.
- Assist with donor research and benefits fulfillment, as needed.
- Actively participate in workshops and trainings as requested, including harassment prevention, bystander intervention, and other equity, diversity, inclusion, and access initiatives.
- Other projects and duties, as assigned.
Qualifications and Skills
- Must be comfortable working in a fast-paced and diverse office environment.
- Proven ability to prioritize and manage projects and deadlines effectively.
- Resourcefulness and strong problem-solving skills.
- Strong written and verbal communication skills, with a high degree of emotional intelligence and cultural competency.
- Ability to work with efficiency and accuracy.
- Proficiency with MS Office, including Excel.
- Interest in and commitment to equity, diversity, access, and inclusion.
- CRM/database experience. A working knowledge of Tessitura is a plus.
- Exceptional attention to detail and organizational skills.
- Aptitude and interest in data analysis.
- 1-2 years of relevant professional and/or educational experience, including data entry and administrative support.
- Ability to handle confidential information with sensitivity.
- Ability to take initiative and drive work with minimal supervision and guidance.
- An appreciation for the performing arts.
- Fully vaccinated against COVID-19.
