Job Description

Position: Operations Coordinator/Manager

Reporting: Sandra Ainslie, CEO

Position classification: Hourly $25.00- $27.40/ Salaried $52,000- $57,000



Mission: To inspire girls to be strong, smart, and bold.


Position Summary: The Operations Manager supports development, implementation, and assessment of Girls Inc. of San Diego short and long-term objectives. The OM is responsible for program operations support, organizational policy development, data management, human resources and fund development support. The position is key in the onboarding and training of new hires.



Operations & Programs- 50%

  • Reviews insurance needs and coverage
  • Oversees systems, processes and policies to support the infrastructure of the needs of the organization- specifically, support better management reporting, information flow, business process, HR, financial and organizational planning
  • Manage and oversee compliance of all program partner agreements and MOU’s
  • Ensures strong risk-management measures are in place
  • Attends meetings to maintain effective communication
  • Support Program Manager in executing program specific evaluation efforts: outcome measurements, program evaluation plan development, implementation, and data management for each Girls Inc. program
  • Manage and increase the effectiveness and efficiency of Support Services (HR, IT and Finance
  • Identify and outreach to community resources to support training needs
  • Develops and promotes efficient systems and procedures to improve productivity, accuracy, and consistency across the organization



Personnel & Human Resources- 20%

  • Attend staff meetings, management meetings, and training as needed
  • Oversee and update organizational policies and procedures to ensure strategic goals and objectives are being met
  • Contribute to a common vision and the overall administration of the organization
  • Manage onboarding paperwork, background checks and all related payroll forms
  • Oversees annual review and update of the Employee Handbook and that all organizational policies and procedures are understood and adhered to consistently by all employees.
  • Creates and promotes a positive, transparent and results-oriented work environment that consistently informs the organization's strategy, operational methods, and needs
  • Sign off and submit new hire and separation paperwork in a timely manner
  • Facilitates cross-departmental administrative, operations, and program collaboration and strengthens internal communications with staff throughout the organization
  • Interpret and explain human resource policies and procedures with staff on a regular basis, consulting with appropriate management as needed
  • Support Program Manager with the recruitment, hiring, and training as needed




  • Collaborate on outcome measurement strategies and data in conjunction with the leadership team
  • SSBOS administration
  • Assist with data entry (attendance) and reporting through Compass 360
  • Data Management/ Compass 360 (10%)
  • Tracking for grant outcomes
  • Collaborate on data management infrastructure



  • Marketing and Communications (5-10%)
  • Manage timelines and communications for donor stewardship
  • Create and manage communications platforms and timelines


  • Manage grant and reporting calendar
  • Track Grant outcomes and deliverables
  • Fund development support / Grant Compliance and relationship management (5-10%)
  • Prepare reports and financials


  • Facilitate programs, workshops, series and events in a girls-only, pro-girl environment using the six essential elements of the Girls Inc. experience.
  • Program support (5%)



Required Skills:

  • Leadership experience in a nonprofit or school setting required
  • Spanish preferred
  • Strong communication skills and the ability to work directly with adults, adolescents and children
  • Ability to self-start and work well in a team setting and multi-tasked environment
  • Proficient in computer programs including the Microsoft Office Suite, google drives and Canva.
  • Proven track record of leadership, maturity on the job, self-motivation and commitment
  • Experience in and appreciation for diverse populations, cultures and economic experiences
  • Positive role model for children, adolescents and young adults, and colleagues
  • Minimum of two-years experience in operations, HR and/or finance
  • Support an organization environment based in respect
  • Inspire, stimulate and support self-empowerment among girls and staff
  • Demonstrate commitment to the mission, vision, and advocacy statements of Girls Inc.
  • Bachelor’s Degree required
  • Ability to inspire and encourage creativity and innovation
  • Master’s Degree preferred
  • Communicate effectively in oral and written forms
  • Be detail oriented, skilled at documentation, and highly organized
