Job Description

Job Purpose: The Office Services Coordinator (OSC) is the first point of contact for Sony Music Publishing’s office and is responsible for setting the tone and creative atmosphere of the office in a positive and productive way. The OSC will be a dedicated and extremely service-driven facilities professional who is highly motivated, proactively engaged in managing the daily activities of general office operations, has a strong sense of initiative, and maintains the highest level of discretion and confidentiality.
What You’ll Do:
Front Desk:
  • Route high volume of main phone line calls to appropriate contact/department
  • Manage floor lobby and front desk area experience; actively welcome and greet guests
  • Collaborate with employees and assist clients during general office visits and meetings
Office Services:
  • Common Areas – manage lobby and general pantry area; coordinate conference room availability and upkeep; assist with meeting prep (supplies, catering, audio/visual), etc.
  • Directory – partner with PX and IT to proactively update office directory and floor plan; submit departmental rent allocations to Finance
  • Messenger – prep and coordinate shipments and/or messenger service with Mailroom
  • Equipment – coordinate copier/machine maintenance and routine piano tuning
  • Facilities – partner with corporate Facilities team on work request forms and repairs, internal office moves, new hire setups and exits, general office design, furniture, etc.
  • Purchase Card – track and submit accurate accounting to Finance
  • Supplies – accurately track and reconcile multiple vendor accounts; procure general inventory; organize and restock pantry, supply closets, and Wellness Room amenities
  • Liaise with nearby satellite office (offsite) for standard or urgent facility items, as needed
Safety and Security:
  • Ensure company office protocols are upheld including any current COVID-19 policy
  • Serve as member of your floor Safety Team and as central point person for all safety and security processes and drills
  • Liaise with corporate Security team, as needed
Other:
  • Other responsibilities as assigned
  • Assist with coordination of Summer Internship Program including desk prep and seat assignments, building tours, and safety protocol
  • Participate in company Culture Committee; liaise with committee members, PX, and Finance to coordinate and manage company-wide events (catering, audio/visual, etc.)
Who You Are:
  • Must be able to work in the office Monday-Friday, 9:00am-6:00pm daily (including required breaks); variations in work volume may require extended working hours for evening and late-night events
  • Excellent and clear communicator (written and verbal) with positive interpersonal skills
  • Proactive in taking initiative while staying organized and solution-oriented
  • Ability to lift up to 25 lbs.
  • Intrinsically punctual – an absolute must
  • Keen sense of spatial awareness with strong attention to detail and savvy organizational skills
  • Must be authorized to work in the United States
  • 2 years of previous facilities, reception, and/or administrative support preferred
  • Proficient in Office 365 including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint

  • Able to manage multiple tasks and projects while producing excellent results in a timely manner

DISCLAIMER:
The anticipated annual base salary for this position is $45,000-$50,000. This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
