If you are a fit for this position, we know that you are interested in more details. Read on! As a Client Service Administrator, you can expect to:


  • Coordinate the advisor’s calendar availability; appropriately blocking time and coordinating commitments with the team
  • Prepare and execute client mailings via post and email
  • Schedule meetings for clients, partners, and vendors
  • Initiate outgoing communication to clients and strategic partners to obtain documents and information necessary for developing financial plans
  • Prepare client paperwork, confirm accuracy, and follow through to completion (to include DocuSign)
  • Review mail and process or distribute accordingly
  • Make and implement suggestions to systematize and improve office functions
  • Think. Our client wants your mind in the mix, to perceive, observe, reflect, decide, and act
  • Help prepare for client meetings - prep conference room, pull files, check CRM, etc.
  • Assist advisor and clients with administrative needs during in-office meetings
  • Be proactive in keeping advisor aware of incomplete or unresolved tasks
  • Stay apprised of client meetings and ongoing activities, keeping up to date on the advisor’s priorities and projects, goals, and timelines and what he wants/needs to do with each on an ongoing basis so that you can process, schedule, and oversee projects
  • Ensure the office runs smoothly by maintaining supply levels and coordinating repairs and maintenance, as well as general upkeep of a tidy environment
  • Open new client accounts and provide input to the advisor on adding account functionality
  • Respond to, complete, and follow up on client requests
  • Create and follow up on CRM tasks
  • Intake, screen, organize and process all that you are able, focus the advisor’s attention on the items that require his personal attention, and ensure that all activities are captured, scheduled, and completed
  • Prepare monthly/quarterly/ad hoc client reporting
  • Scan and electronically file client documents within a paperless office
  • Create and maintain client and prospect records using CRM system; use the CRM system efficiently to maintain client information and tasks
  • Warmly greet clients joining us at our office or calling us on the telephone
  • Maintain up-to-date awareness of firm/industry trends by regularly reading communications from RIA/broker-dealer, as well as industry publications


Qualifications for this role include:


  • Strong computer desktop skills are required: Microsoft Office Suite (Excel, Outlook, Word, etc.)
  • Ability to adapt in a fast-paced environment
  • Demonstrated job stability and career progression
  • Technology-forward
  • Ability to learn quickly
  • Familiarity with Fidelity/NFS back office preferred
  • Minimum of two years of experience in a client-facing role is required
  • Excellent communication and relationship management skills
  • College degree is preferred, but not required
  • High attention to detail
  • Minimum of two years of experience in the financial services industry is required
  • Insurance license preferred
