Job Description

A I R E is currently seeking an Assistant Talent Manager who will be responsible for providing administrative support to the Talent Manager team and roster of Talent and overseeing campaign management for each partnership. The ideal candidate will have a minimum of 1-2 years related experience at a talent management firm or agency working with personalities and digital talent and exhibits an interest in growth opportunities within these fields. The ideal candidate has extraordinary organizational skills in a fast paced, high volume environment, and can anticipate needs and proactively identify solutions.


Responsibilities

  • Maintain invoice tracker to ensure bookkeeper can submit invoices accurately and on time
  • Manage a high volume of heavy email activity, calls and responsibilities
  • Calendar management for talent and AIRE
  • Talent and Pitch Decks: update talent decks to reflect new highlights and analytics.
  • Assist in the success of talent partnerships and the growth of talent’s careers and relationships
  • Coordinate calls, meetings, travel, product deliveries, etc
  • Provide weekly updates to Talent
  • Act as the liaison between the talent and brands once agreements are signed to ensure talent campaigns are seamlessly executed i.e. during the campaign management process, overseeing and understanding creative briefs, product deliveries, contract deliverables, timelines and navigating potential delays and shifts, and gathering analytics, through the final invoice being shared.
  • Source / organize contacts for outreach
  • Exhibit enthusiasm for the industry and growing as a talent manager
  • Send call sheets for photo shoots and events
  • Attend talent and industry events / meetings as required
  • Craft presentations, and case studies as required
  • Additional ad-hoc projects, tasks and responsibilities as assigned/ General administrative and creative tasks
  • File documents in company database
  • Meetings / Calls: Take notes, share organized recaps and consolidate / manage next steps
  • Provide administrative support to the talent managers and their talent roster


Qualifications

  • Ability to stay one step ahead in a fast-moving environment. Anticipates problems and proactively identify solutions.
  • Outstanding organizational skills and the ability to prioritize tasks and manage multiple projects simultaneously Exhibits strong follow up skills
  • Must have a desire to grow in the talent management space - we are specifically looking to recruit candidates with baseline experience who want to fast track growth and new opportunities
  • Exceptional interpersonal skills, ability to network independently and interact with all personality types
  • Illustrates proficiency in analyzing and measuring the effectiveness of content and projects
  • Ability to handle confidential information with discretion
  • Strong knowledge of social media platforms, analytics, trends and best practices and an interest in developing talent and client relationships
  • Minimum 1-2 years of experience in an assistant talent management or agency role
  • Comfortable wearing a lot of hats, and willing to go above and beyond
  • Proactive and a self starter personality
  • Proficient written and oral communication skills
  • Strong attention to detail - can balance an understanding of the project from both the client and talent side, along with transactional needs.
  • Ability to prioritize and meet tight deadlines while demonstrating poise, resourcefulness and the highest level of professionalism. Must be able to operate at the speed of digital
  • Exhibits a strong work ethic, calm demeanor and positive attitude in a high-volume, fast paced start up environment
  • General knowledge of campaign management for talent a must and ability to reference partnership contracts a plus!
