Administrative Business Associate – Development


The Administrative Business Associate provides a shared model of support / support of multiple leaders for improved efficiencies across administrative activities and project coordination tasks. The Administrative Business Associate should aim to optimize their time and screen content to ensure the leaders can focus on potential risks / decisions at the right time. An Administrative Business Associate must have knowledge of Hospital and department goals, objectives, and policies. Lastly, the Administrative Business Associate should be comfortable utilizing new technologies and assist process improvements as needed.


Responsibilities


  • Prioritize and manage multiple projects simultaneously.
  • Assist other support staff as necessary; collaborate with all levels of internal leadership, management, and staff as well as donors, vendors, and other external parties.
  • Make travel, meeting, and special event arrangements; create and organize travel itineraries.
  • Oher duties as assigned.
  • Anticipate and prepare materials needed for meetings, correspondence, appointments, etc. that may include privileged and confidential information.
  • Prepare and edit, reports and presentations using Excel and PowerPoint
  • Manage multiple calendars; coordinate and schedule meetings and conference calls within the department, interdepartmentally, and/or with external parties.


Requirements


  • Minimum of 2 years of administrative experience supporting one or more leaders
  • Time management is a skill that is essential to this job since many tasks and projects have deadlines.
  • Expertise in calendar management, meeting scheduling and screening calls
  • Must be an active listener in order to comprehend required duties and quickly understand the best method for completing them.
  • Must be dependable and reliable with a strong record of being on time with excellent attendance.
  • High school diploma or GED
  • Must have superb interpersonal skills that include good oral, written and telephone communication
  • Demonstrated ability to partner with leadership and establish strong working relationships
  • Proficient with Microsoft Word, Excel, PowerPoint and Outlook.
