OIC of America is seeking an Administrative Assistant/Office Manager, who will play a crucial role in ensuring the smooth operation of our office and providing essential support to our team. You will be responsible for a wide range of administrative tasks and office management duties, contributing to the overall efficiency and productivity of our organization.
In this dynamic position, you will be acting as the primary point of contact for both internal and external stakeholders. RESPONSIBILITIES
oManage the Chief Operating Officer’s calendar, schedule meetings, expenses and make travel arrangements, ensuring optimal time management and seamless coordination.
oYou will be the first point of contact for visitors, clients, and vendors, in which you will create a welcoming and professional environment, providing outstanding customer service and addressing inquiries effectively.
oYou will act as the custodian of our office's records and documents, manage and organize files, ensuring that information is easily accessible, confidential, and up-to-date.
oAssists with data collection by entering new and updated affiliate and partner data in the appropriate database.
oYour excellent communication skills will be utilized as you handle incoming calls, manage email correspondence, and act as a liaison between departments within the organization.
oIn addition to your administrative responsibilities, you will oversee office supplies inventory, ensuring that necessary items are readily available. You will collaborate with vendors and building management to ensure the smooth operation of our office space, coordinating maintenance and resolving any facilities-related issues that may arise.
oCoordinate and oversee office maintenance, including liaising with building management and vendors.
oAssist in the preparation and execution of company events, conferences, committee and board meetings.
oOther duties as assigned.
QUALIFICATIONS & SKILLS
oBachelor’s degree preferred.
oA minimum of 3 years of direct experience as an Administrative Assistant.
oExcellent communication skills: verbal, listening, written, presentation, and interpersonal.
oDetail-oriented and outcome-focused.
oProficient with Microsoft Office programs Word, Excel, and PowerPoint and Google Suite.
oStrong organizational skills and the ability to prioritize duties.
oExceptional interpersonal skills and the ability to effectively manage internal and external partnerships.
oAbility to remain flexible and adapt quickly to changing situations.
oAbility to work efficiently and accurately in a fast-paced environment with multiple interruptions.
oAble to develop effective working relationships with diverse people, in person and virtually.
oAble to work effectively through virtual meetings and with colleagues working remotely.

TRAVEL
Travel may be required to meet with staff, affiliate leaders, investors, partners, and to attend professional development opportunities.
WORKING CONDITIONS
This role operates in a professional office environment on a hybrid schedule. This role routinely relies mostly on virtual meetings to conduct business. These virtual meetings are complemented by regular in person meetings with executive leaders, staff, and partners in communities across the country.
The expected hours of the position are Monday through Friday, 8:30 a.m. – 5 p.m.
