Provo City is looking for a part-time Administrative Assistant to perform clerical support work for the Provo City Cemetery in our Parks division. Job DetailsPay Rate: $14.00 to $18.00 per hour (depending on qualifications)


Essential Duties


  • Schedule meetings, appointments, and conferences and maintain calendars and staff schedules.
  • Enter and retrieve data from specialized software programs for assigned area.
  • May assist with tracking program budgets and expenditures, payroll and time tracking responsibilities, training, evaluating, and/or supervising part-time clerical support staff.
  • Type, file, and sort documents.
  • Oversee processing of workflows.
  • Oversee and maintain office supply inventory for assigned area and establish ordering processes.
  • Take notes at meetings as needed.
  • Compile figures for special reports.
  • Maintain files and records, including organizing them and establishing appropriate filing and retrieval processes.
  • Make copies and operate general office equipment and machines.
  • Handle confidential information.
  • May process accounts payable and receivable and track transactions.
  • Input data into computer.
  • May assist with bookkeeping responsibilities, including handling cash, billing, requisitions, and purchase orders.
  • Perform specialized tasks based on assigned area.
  • Edit correspondence for final review.
  • Process and distribute incoming and outgoing mail and correspondence.
  • Greet customers, in-person and via phone and email, and answer questions about services.
  • Perform other related duties as required.
  • Provide information from reports and records.


Minimum Requirements


  • Experience using specific computers or software packages may be required.
  • Or an equivalent combination of job-related education and experience [substituting each 1 year of post-secondary education/training for 6 months of experience].
  • 2 Years of clerical experience.
  • A valid, lawful Driver License may be required.
  • High School Diploma or equivalent (GED).


Hours: This position is 25 hours a week, Monday through Friday between the hours of 8:00 a.m. and 4:30 p.m. Actual schedule varies and will be discussed by the hiring manager.


Environmental/Physical Factors: Requires standing at a counter or sitting at a desk or computer for long time periods. Some positions require shift work, extensive walking, driving, or light lifting (10-30 lbs.). Work is inside with little or no occupational hazards present. Some positions may include exposure to high-stress situations or environments, including, contact with the public in confrontational or uncomfortable circumstances.


Pre-employment Drug Screen: Prior to appointment, applicant will be required to successfully pass a drug screen and criminal background check. Non-disclosure may result in dismissal. Applicants with unsatisfactory drug screen results will be ineligible for appointment or application to any Provo City position for a minimum period of six (6) months.
