Job Description
We are seeking a highly skilled and experienced professional to join our organization as an Executive Assistant. In this role, you will provide high-level administrative support to our Chief Operating Officer (COO) and Chief Information Officer (CIO) in the aerospace defense sector.


What You'll Do


  • Collaborate with cross-functional teams to gather and disseminate information, ensuring smooth and efficient communication flow.
  • Executive Support:
  • Manage and maintain the COO and CIO's calendars, ensuring efficient scheduling and prioritization of appointments, meetings, and events.
  • Communication and Coordination:
  • Manage event logistics, including venue selection, catering, audiovisual setup, and participant coordination.
  • Assist in organizing and coordinating events, conferences, and seminars, both internally and externally.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, visas, and transportation, considering time zones and logistical details.
  • Arrange complex travel itineraries, including flights, accommodations, ground transportation, and other travel-related logistics.
  • Event Coordination:
  • Maintain confidentiality and discretion in handling sensitive information, documents, and discussions.
  • Act as a liaison between the COO, CIO, and internal/external stakeholders, managing correspondence, phone calls, and emails effectively.
  • Information Management:
  • Coordinate with travel agencies and vendors to ensure smooth and hassle-free travel experiences.
  • Proactively manage changes and adjustments to travel plans, resolving issues and ensuring minimal disruption to schedules.
  • Organize and maintain electronic and physical filing systems, ensuring easy access to information and efficient retrieval.
  • Conduct research and compile data as required, assisting in the preparation of strategic documents and presentations.
  • Prepare and organize documents, presentations, and reports for meetings, ensuring accuracy and timely delivery.
  • Travel Management:
  • Arrange and facilitate meetings, conference calls, and video conferences, ensuring participants are well-prepared and necessary resources are available.
  • Provide on-site support during events, ensuring seamless execution and excellent attendee experiences.

Experience


WHAT YOU'LL NEED:


  • Active TS/SCI
  • Willingness and ability to travel approximately 80% of the time, both domestically and internationally.
  • Proven experience as an executive assistant, preferably in a fast-paced, executive-level environment.
  • Excellent verbal and written communication skills, with the ability to interact confidently with individuals at all levels, including COOs, CIOs, and other executives.
  • Exceptional attention to detail, with the ability to maintain accuracy and professionalism under tight deadlines.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Flexibility and adaptability to accommodate changing priorities and travel requirements.
  • Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience).
  • Demonstrated discretion and confidentiality in handling sensitive information and discussions.
  • Proficient in using productivity tools, calendar management systems, and Microsoft Office Suite.
  • Willing to Travel 80%
