Job Description

Itron is looking for an experienced Executive Administrative professional to support our CEO and be the primary administrative interface to our Board of Directors. We are looking for an experienced individual who can deeply partner with our senior leadership. We believe that the impact of this partnership is a more productive and connected leadership team leading to better decision-making and business results.


Responsibilities of the Executive Assistant include but are not limited to, the following duties:


Calendar, Meeting and Travel Management:

  • Effectively communicate and coordinate with cross-functional teams and external customers and partners as a representative of the CEO as assigned.
  • Collaborate with cross functional teams on business-critical projects
  • Prepare and submit expense reports through Concur in an accurate and timely manner
  • Ensure CEO and the Board are equipped with all the necessary meeting information serving as a liaison to supporting teams, ensuring preparation information is provided, confirming meetings, and keeping up to speed on all matters requiring attention
  • Heavy scheduling and complex calendar management––manage constantly evolving calendars using keen judgment to prioritize meetings appropriately and maximize efficiency of the CEO and the Board.
  • Plan, coordinate, and execute meeting logistics including presentations, agendas, Audio/Visual set up, and material distribution
  • Coordinate travel arrangements (domestic and international) – including flights, hotels, meals, car service, international visas, itineraries, etc.
  • Establish cadence through recurring meetings with the broader executive team, direct reports, and cross-functional leadership, using keen judgement on project priorities and time management
  • Coordinate and manage quarterly staff meetings, ops reviews and other ad hoc meetings including presentation management, agenda creation, minute recording and action item tracking

Board of Directors

  • Upload Board materials to Diligent (Board platform) and provide notifications of materials availability
  • Monthly monitoring of the Board budget
  • Board administrative support including meeting planning and logistics, Board air and ground travel arrangements, hotel contracts, and Board member expense reconciliation and processing
  • Schedule monthly 1:1 calls between the CEO and the Board members
  • Liaison with the Board of Directors for scheduling quarterly meetings, and other meetings as needed, working with the General Counsel and CFO EA’s

Procurement:

  • Procurement and supplier management across the team; purchase order creation, invoice receipt and payment tracking, as well as direct communication.
  • Track and monitor all POs, receipts, invoice submissions, and month‐end accruals. Work directly with budget owners and act as a liaison between them and AP to ensure on track for quarterly and year end budgets

Other Key Responsibilities:

  • Assist new hires during onboarding process
  • Serve as leader for EA community ensuring relationships are intact
  • Keep distribution lists current across CEO staff
  • Project work, not limited but including, board management and supplier communication, -internal meeting/ event preparation, execution support and follow-up
  • Liaison to the local site facilities team

Qualifications:

  • Reliable and consistent, taking pride and ownership in work
  • Extremely organized with excellent attention to detail
  • Experience processing expense reports, managing purchase orders, and familiarity with departmental budget monitoring
  • Handle highly confidential matters with discretion and tact
  • Ability to act independently with minimal supervision
  • High technical proficiency in Microsoft Office and familiarity with productivity tools such as Concur, Oracle
  • Highly motivated and proactive
  • Ability to learn quickly and maintain a high-performance level in a dynamic environment with shifting priorities
  • 10+ years supporting C-suite level executives, operating in a global environment
  • Process-oriented and passionate about finding ways to improve processes and drive efficiencies
  • Ability to multi-task and remain calm under high pressure situations
  • Possess outstanding communication and interpersonal skills with the ability to communicate with executive management and board of directors
  • Experience in booking and managing global complex travel itineraries and frequently changing calendars
  • Experience coordinating meetings/activities both internal and external
  • Self-motivated and resourceful
  • Team player able to effectively interact with other members of the team and EAs
  • Excellent writing and editorial skills
