Position Overview:

We are seeking a skilled administrative/accounting professional to assist the Director of Business Management with processing and tracking Purchase Requisitions (PRs), Purchase Orders (POs), and Accounts Payable invoices. The ideal candidate must be comfortable using Excel on a daily basis to create Requests for Proposals (RFPs) and will receive and log packages that are received in our NY Warehouse. The ideal candidate should also be able to work independently, be proficient in basic Accounting, and have an analytical mindset to interpret sets of data and achieve a conclusion.

Position Responsibilities:

  • Maintain accurate and complete records and information related to equipment and vehicles
  • Provide administrative support to team members and management, as needed
  • Complete special projects and data analysis, as needed
  • Accurately code and submit invoices for approval in Basware software
  • Manage Purchase Order and Receivals in Oracle and Excel by tracking and communicating with vendors to obtain additional information if orders have been received or delayed
  • Independently create Request for Proposals (RFP’s) and process Purchase Requisitions (PR’s) in Oracle database
  • Receive and record equipment from the mailroom using Oracle

Position Requirements:

  • Ability to work in an environment, when at times, may be fast paced
  • Ability to analyze multiple sets of data and achieve an outcome to be presented
  • Strong oral and written communication skills
  • Proven ability to set and meet deadlines independently
  • Proven organizational skills and the ability to maintain precise and detailed records
  • Prior experience using Basware, Oracle, or a similar platform, preferred
  • Proficiency in Excel, which includes experience with formulas, VLOOKUPs, and pivot tables
  • Proficient computer knowledge and strong experience with Microsoft Office Suite
  • Associate degree in Accounting or 3+ years Accounting experience, required
  • Strong attention to detail and ability to work independently
