Job Description

Senior HRIS Analyst
American Public Education, Inc.

The Senior HRIS Analyst is responsible for the system management and maintenance of the HRIS system (UKG Pro) and serves as the primary technical point-of-contact for the Human Resources department. The Senior HRIS Analyst will provide support for the HR team to ensure data integrity, testing of system changes, and the analysis of system driven opportunities or process improvement. The Senior HRIS Analyst compiles, verifies, and analyzes data relative to the HR function. This is a cross-functional technical role that requires a high degree of employee service and strong communication skills. This role reports to the (Insert Manager Title). This role does not have any direct reports.

Responsibilities:

System Management (60%)

  • Performs troubleshooting of HRIS system by researching and identifying the root causes for data problems such as system limitations or design, user error or lack of standard procedures for accurate ongoing administration of HR systems and reports.
  • Performs other duties as assigned.
  • Performs audits of various datasets to ensure HRIS data integrity and efficient processing of HR data; develops business rules to validate data to maintain ongoing data integrity. Partners closely with the Business Intelligence Analyst for data needs.
  • Under the direction of HR leadership, launch annual performance reviews via HRIS system.
  • Promotes data standardization and recommends best practices to support business needs.
  • Applies technical and functional HR knowledge to the improvement, maintenance, and development of the HRIS system in order to support HR business needs.
  • When directed, complete any system driven mass uploads of data.
  • Assists HR leaders with ad hoc projects as needed.
  • Partners with Benefits Team to support annual processes such as Open Enrollment; assists with automation of these processes. Serves as the primary contact for new HR system implementations, integrations, and interfaces. Coordinates with the IT team on any HR system integrations as it relates to the enterprise.

Administration & Compliance (20%)

  • Communicates updates to the HR team regarding UKG Pro releases, new features and system enhancements.
  • Manages UKG Pro interface data transmissions to outside vendors.
  • Manages the use and dissemination of employee information, data security, and data accuracy for SOX compliance and regulatory reporting.
  • Requests test system refresh when needed
  • Serves as HR Systems Administrator, to include the set up and configuration of security roles and assignment of users; partners with Internal Audit in regular audits of user roles to ensure SOX compliance.
  • Submits UKG Pro Service Requests for system upgrades or customs.
  • Serves as primary internal contact for UKG Pro and other HR systems; modifies system configurations accordingly, to include business rules and workflows.
  • Process system invoices and manages to departmental budget.
  • Facilitates the day-to-day relationship with UKG Pro Executive Relationship Manager and Customer Success Manager.

System Support & Training (10%)

  • Educates HR staff at APEI and subsidiaries in areas of system intersects and other systems related considerations.
  • Provide general HRIS training to new employees.
  • Supports all APEI education unit subsidiaries with system configurations and performs ongoing maintenance based on business needs.
  • Assists with mergers and acquisitions from a systems and data conversion perspective.

Reporting (10%)

  • Ensures data validation and develops new reports and dashboards.
  • Serves as a resource for generating Cognos BI reporting for internal customers in HR and other departments.

Position Requirements:

  • Demonstrated understanding of HR security roles and how these security roles impact user access and SOX compliance.
  • Strong problem-solving acumen – able to identify and resolve problems in a timely manner and able to gather and analyze information skillfully; demonstrates solid troubleshooting abilities.
  • Familiar with standard concepts, practices, and procedures within the Human Resources field (including Recruiting, Onboarding, Benefits, Performance Management and Training).
  • Minimum of 5 years’ experience with HRIS related systems administration, functional support, and enhancement development required, UKG Pro and/or Cognos BI expertise strongly preferred.
  • Advanced skills in MS Word, Excel, PowerPoint.

Education:

  • Bachelor's degree required.
