JOB DESCRIPTION AND POSITION REQUIREMENTS:


We are searching for a self-motivated, positive, customer service oriented, and quality conscious Administrative Support Assistant to join our Materials and Manufacturing Office (MMO) at the Applied Research Laboratory (ARL) at Penn State University. ARL/Penn State’s purpose is to research and develop innovative solutions to challenging scientific, engineering, and technology problems in support of the Navy, the Department of Defense, and the Intel Community. You will be responsible for a broad variety of administrative functions, which includes various receptionist and office support activities.


ARL is an authorized DoD SkillBridge partner and welcomes all transitioning military members to apply.


You will:


  • Maintain calendars, assist with travel arrangements, and process travel reimbursements
  • Gather information from office records to initiate work unit forms, files, records, standard e-mails, memos, and other documents
  • Greet customers/visitors, provide information and/or refer; direct, review, screen, and process telephone communications and mail
  • Establish and maintain work unit files and databases, including handling/maintaining confidential and/or sensitive material
  • Support routine meetings, assign badges and process visitor requests; provide assistance with special projects, meetings, annual or periodic reports, grants, and events
  • May track and monitor/maintain budgets, budget reports, and expenditures
  • Support administrative coverage in all MMO areas on a regular basis, to include other locations in the State College area
  • Assist in resolving routine inquiries, ensuring compliance with ARL and University policies and procedures


Typical requirements include a High School Diploma or higher plus one year of related experience. Vocational or technical certification/degree in a related field is highly preferred.


Required training/experience areas include:


  • Past experience working alongside a diverse group of people from a variety of cultures and backgrounds
  • Microsoft Office tools
  • Ability to interact and communicate with a high-level of professionalism, both independently and as a member of a team
  • Standard office procedures and policies
  • Willingness and desire to learn job-related software


Your working location will be fully on-site for the first six months, located in State College, PA. The opportunity for a hybrid on-site/work from home (remote one day/week) after the first six months is available.
