Job Description

Summary

Greets and assists all incoming visitors, customers, shareholders, etc. in a warm and inviting manner. This position will also answer and route all incoming calls in a friendly and professional manner, in addition to maintaining a clean and neat reception/lobby area. The Receptionist will be required to assist with any other administrative duties as assigned by the HR Generalist and/or any other office personnel. Operates voice-over IP multiline telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

  • Answers questions about the organization and provides callers with address, directions, and other information. Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes. Orders, receives, and maintains office supplies.
  • Answers incoming telephone calls, determines the purpose of callers, and forwards call to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel is unavailable.
  • Retrieves messages from voice mail and forwards them to appropriate personnel.
  • Performs other clerical duties as needed, such as filing, photocopying, and collating.
  • Answers and routes all incoming calls in a friendly and professional manner, in addition to maintaining a clean and neat reception/lobby area.
  • Operates voice-over IP multiline telephone system to answer incoming calls and directs callers to appropriate personnel.
  • Assists with any other administrative duties as assigned by the HR Generalist and/or any other office personnel.

Education and/or Experience

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills

This position requires bilingual language skills in both English and Spanish the following requirements are for both languages. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of Contact Management systems; Human Resource systems; Internet software; Spreadsheet software, and Word Processing software.

Certificates, Licenses, Registrations

SHRM Certification preferred.
