Job Description
The Project Development Manager will provide day-to-day management of inbound business opportunities and work with a diverse team in the development of response materials to opportunities for live events. They'll collaborate on the development of event creative and execution approaches for events based on client criteria and goals. They'll research and have conversations with internal departments, creative collaborators, vendor partners, venues, technical specialists, and other event vendor resources as needed in the development of initial event project plans. They'll oversee key elements such as RFP response timelines, scheduling client and response team meetings, and guest experience development. They will participate in the updating of and directly create client facing deliverables such as; deck templates, event budgets and Scope of Work documents (SOW). They will assist in the handoff of the project to event execution teams ensuring that the SOW is understood and help to consult throughout the process to ensure client criteria and goals are met.


Location: Remote (USA)


Responsibilities:


  • Prepare budgets, with average ranging from $50,000 - $2 million+ US Dollars, offering suggestions for efficiencies.
  • Employ both creative and analytical thinking to project development and business development alike
  • Work with discretion, diplomacy, and tact across a multitude of work settings, including financial & government agencies
  • Manage expectations (Client, Venue, and Internal), provide feedback, and anticipate challenges before they arise
  • Act as a contributor to the strategic development of the inbound project process under the supervision of the VP of Project Development
  • Liaise between client, internal teams, and event partners to ensure the client deliverables are completed on time
  • Actively anticipate challenges & provide sound solutions. Ask questions, seek feedback, and action changes
  • Take initiative, act responsively, and demonstrate a sense of urgency. Be collaborative, engaged, curious, and solution-oriented.
  • Gather information, distribute information, manage expectations from team members and clients allowing individual team to focus details in their areas of focus
  • Effectively communicate a client's vision & collaborate internally to develop creative concepts & project plans to meet brand objectives.
  • Keep up-to-date on current events, industry trends, technology and resources
  • Grow opportunities with existing clients and bring new client opportunities to the company
  • Develop comprehensive supervising and management skills - clearly setting expectations, communicating processes, setting goals for improvement, and offering support as necessary
  • Effectively plan and execute client facing deliverables, and mange the team to clearly set expectations to ensure on time delivery.
  • Prepare project development timelines (both for RFP response and Project Execution)
  • Gather information and estimates from vendors and Subject Matter Experts (SMEs) as needed to understand costs and feasibility.
  • Oversee the integration of elements for PG's client communication strategy for project inquiries, gathering elements from team collaborators such as creative concepts, guest jouney, schedules, staffing plans, plans & layouts, show documents, security & logistics, transportation, catering, budgets, etc.
  • Able to maintain focus for both client and internal projects, splitting time between contributing to client facing pitches, and supporting handoff to project execution teams, and assisting in client management


Qualifications:


  • Flexibility to work non-traditional hours (nights & weekends) as required (especially on deadline)
  • Strive for continuous improvement by placing an emphasis on both receiving and giving feedback
  • Experience preparing budgets & managing them (average ranging from $50,000 - $2 million+ US Dollars)
  • Minimum of 6 years' experience in live events / entertainment / theatre / production
  • Outstanding organizational skills & great attention to detail
  • Knowledge of venues (NYC & beyond) a plus
  • Familiarity with, or willingness to learn communications and project management tools, such as Slack, Box, Airtable, Concur and CRM Software.
  • Ability to prioritize and multi-task working under rapid deadlines
  • Facilitate effective communications throughout a project, including both verbal and written
  • Proficient in Google Docs, Keynote & Microsoft Office, specifically PPT, Word, and Outlook with a strong proficiency in Excel for budget development – including formulas and Pivot tables)


Travel Requirements:


Potential occasional travel for client meetings, no more then 5-10% anticipated


Salary Range:


$85,000 - $100,000 annual salary, DOE
