Job Description

Essential Job Functions & Responsibilities
  • Primary support person for engineers/investigators in scheduling and tracking incoming and ongoing projects related to litigious matters
  • Prepare FOIA requests
  • Interact with office maintenance workers. Direct/usher them to the warehouse/lab as needed
  • Responsible for document proofreading, research and letter composition
  • Photo processing of engineer's site photos
  • Regular and predictable physical presence in the office
  • Spreadsheet creation, data entry and manipulation
  • Maintains electronic and physical office files and databases
  • Handles verbal and written client communications
  • Handles meeting and lab exam scheduling
  • Direct/usher guests, clients to the warehouse/lab as needed
  • Maintaining and coordinating engineer's schedules of site inspections, depositions and changes to trial schedules
  • Assist with managing incoming phone calls
  • Assist in annual file archival/purging process
  • Provide support for performing conflict checks, including compiling, accuracy verification, and sorting of information for computer entry, and research/request further information
  • Review depositions and prepare summaries
  • Assist with office maintenance operations (stocking/tidying, technical issues, etc.)
Position Requirements
  • Must have strong multi-tasking skills across multiple platforms
  • Very detail oriented
  • Must be comfortable with working in an office setting that is open to the public
  • A minimum of three (3) years of legal experience
  • Paralegal or Legal Assistance experience preferred, specifically in the areas of insurance defense or general liability defense
  • Must have strong research, writing, organizational, interpersonal, communication, time management and critical thinking skills
  • Excellent reading, writing, and proofreading skills
  • Experience in a litigation firm or corporate legal department
  • High level of proficiency in MS Office (Word and Excel; PowerPoint) and Outlook
Physical Requirements
  • Ability to maneuver around the office
  • Ability to work at a computer for extended periods of time
  • Ability to file and carry folders
  • Ability to carry/lift 50 lbs
  • Ability to communicate effectively with colleagues and clients
  • Ability to bend and/or bend and lift
  • Ability to answer phones
  • Ability to use a computer/keyboard and hold a telephone receiver while talking and taking notes
