Job Summary:
Elias Law Group LLP is a mission driven law firm, dedicated to helping Democrats win, citizens vote, and progressives make change, with offices in Washington, D.C. and Seattle, Washington. We are currently seeking to add an Operations Assistant to our Washington, D.C. office reporting directly to the Operations Manager.
This position will assist the Manager in execution across his portfolio, providing support to the firm's daily schedule as well as his numerous initiatives.
Classification: Non-Exempt
Minimum Required Qualifications:
The Operations Assistant must have an associate degree; some experience in an administrative support role is preferred; experience in a law firm setting is ideal. This role is predominantly performed on-site in our offices in Washington, D.C.
The Operations Assistant must thrive within a diverse and close-knit team and must be willing to think creatively and innovate. The Operations Assistant must also be responsive and show initiative.
Essential Job Functions:
- Schedule procurement, distribution, and inventory of items purchased with firm funds
- Act as a liaison to travel agency representing firm interests while booking travel arrangements for groups, guests, and trips requiring exceptions to firm travel policy
- Oversee phased transitions through period of rapid growth
- Recommend operational solutions to increase ease of access, efficiency and filing consistency
- Assist in office management tasks such as mail, courier services, faxing, and support of remote workers
- Managing action items with operational implications
- Analyze cross-functional projects with operational impacts from legal services, HR, Tech, and finance
- Travel to assist in operations supporting legal proceedings
- Firm-wide operations calendar management
- Possess required state motor vehicle licenses for vehicles used in the execution of this contract
- Be familiar with and adhere to all firm policies and principles of client/firm confidentiality
- Accept overtime as required
- Operations leadership calendar management and administrative assistance as needed
- Serve as a direct assistant to the Operations Manager
- Ability to prioritize and complete a high volume of tasks and projects under time pressure
- Data collection, management, and analysis for informed decision-making related to operational budget, routine reports, and policy development
- Assist with planning and execution of firm-wide events
Work Environment:
- Position routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets
- Position may operate in a professional office environment or in a home-work environment
- Position requires that the employee be able to multi-task in a fast-paced work environment
Physical Demands:
- May require employee to carry or lift items weighing up to 25 pounds
- This position is primarily a sedentary position. However, some duties and responsibilities may require the employee to lift files, open filing cabinets, bend or stand, reach with arms and hands, climb or balance, occasionally move about to access office equipment, file cabinets, etc.
