Job Description
Overview
Assistant to the Operations and Administration Department, and other departments as needed.
Responsibilities
  • Coordinate local Human Resources and Accounting needs with Seattle.
  • Coordinate operational needs with manager, day to day.
  • Maintain the confidentiality of all sensitive communications.
  • Coordinate, purchase, and store office and kitchen supplies weekly.
  • Assist with New Hire Packages as needed.
  • Compose and deliver purchase orders as needed.
  • Maintain crew commissary budget and spreadsheet and report variances to Manager.
  • Receive and distribute U.S. mail and deliveries to local employees and forward applicable mail and deliveries to HMS Branches.
  • Answer incoming calls to main line and transfer as needed.
  • Complete various administrative tasks assigned by multiple departments within the Company.
  • Manage lobby, crew trailer and conference room organization.
  • Coordinate paperwork filing and distribution.
  • Coordinate pre-employment, annual and random testing for employees.
  • Other duties as assigned.
Qualifications
  • Proficient with Microsoft Suite and operating standard office equipment including computers, multi-line phones, copiers, and mail machines.
  • Must be able to read, speak, write, type, and understand English in person and over telephone.
  • Professional appearance and telephone manner.
  • Proven ability to maintain the confidentiality of sensitive information and communications.
  • High School Graduate or GED.
  • Valid State driver’s license.
  • Associate degree or Bachelor degree preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work on multiple tasks and meet deadlines in a fast-paced environment.
  • Must have proven ability to work with all levels of the organization, and possess strong interpersonal and customer service skills with a professional demeanor.
  • Ability to work independently on assigned tasks with minimal or no guidance. Strong communication skills both orally and written.
  • Three years of administrative experience.
Job Condition and Environment
  • Must be physically fit and able to perform normal office tasks such as carrying and putting away office supplies and groceries. Able to push a supply cart and lift and carry up to 30 lbs.
  • Standard office environment.
  • May be required to support occasional outdoor events.
  • Must have reliable transportation and be able to run errands.
Expected Hours of Work
  • Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday, overtime or weekends maybe be required.
