Description

The Department of Medicine is seeking an experienced Administrative Coordinator to join our CARE Center. In this role, you will provide essential administrative and financial support to the Research Director and CARE, as well as offer overall administrative assistance to the MSO and division administration office. Your responsibilities will include managing calendars, scheduling meetings, events, and teleconferences, as well as organizing documents and maintaining office files. In this role, you will also be responsible for generating monthly financial reports, projections, and reconciling accounts. Additionally, you will be involved in preparing recharges, rent reports, financial transactions, and invoices for sponsors. It will be your responsibility to ensure the Financial Projection Module (FPM) database is up to date with fund manager and faculty assignments. Furthermore, you will maintain a comprehensive database of all contracts, grant submissions, and awards. Your role will also involve assisting with quarterly office/lab space reporting and maintaining various databases related to contracts, grants, gifts, faculty honors, and donations. Additionally, you will be expected to provide backup support to various offices such as staff/academic personnel, purchasing, and finance as required. As an Administrative Coordinator, you will have the opportunity to contribute to special projects and handle other duties as assigned. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively. Target hourly rate: $22.03-$43.68

Qualifications

Required: * Ability to generate graphs/pie charts from Excel. * Excellent skills necessary to manipulate Excel spreadsheets and prepare special reports and maintain lists and/or databases for tracking patient billing and contract and grant submissions. * Skill in prioritizing assignments to complete work in a timely and accurate manner, managing multiple projects simultaneously with conflicting deadlines. * Effective oral and written communication skills necessary to make inquiries and convey information * Skill in assisting callers with appropriate information or referral * Skill in math sufficient to calculate research grant budgets, including projecting personnel and supplies over multi-year project periods * Ability to handle confidential material frequently while protecting its strict confidentiality. * Excellent interpersonal skills to interact with a variety of Division, Departmental and other University staff, faculty fellows and community physicians and research nurses. * Ability to work with accuracy and meet all deadlines. * Ability to supervise & train new students and clerical staff. * Working knowledge of account review and reconciliation. Preferred: * Knowledge of University policies and procedures. * Knowledge of using QDB, FPM and Financial Web Applications. * Knowledge of the PaperVision system * Working knowledge of scanning system PaperVision. * Knowledge of BruinBuy system.
