Job Description
ROLE SUMMARY
The Oncology US Commercial Coordinator will have a pivotal role in supporting the US Oncology Leadership Team in achieving their goals and supporting any team activity/project execution. We are seeking a learning agile and highly-motivated candidate who has demonstrated resourcefulness and proactivity in prior roles. The Oncology US Commercial Coordinator will be expected to deliver high quality work in a self-directed environment and must be comfortable with assuming increased levels of responsibility with accountability for decisions and project outcomes. This position requires strong interpersonal and communication skills and the ability to manage multiple priorities.
The Coordinator’s focus and ability to meet team targets in a timely manner will help in completing critical deliverables. His/her innovative use of communication tools and techniques will facilitate in explaining difficult issues and establishing consensus between teams
ROLE RESPONSIBILITIES
With minimal supervision responsibilities will include but are not limited to:
Team Operations
  • Back-up to manage admin needs for US Oncology Lead (i.e., calendar management, meetings, travel and expense reports)
  • Develop and monitor organization systems (e.g., SharePoints, Teams, Yammer etc.) for internal and external stakeholders. Encourage & Post in Weekly Achievements and BRAVO Recognition. Post Deadline Reminders for Projects, Tasks, Goals, etc. via Teams.
  • Manage facilities related issues including office space and moves for the teams
  • Maintain and distribute up to date organizational contacts and email distribution lists
  • Based on output of LT meetings, including Collective Advantage, Insight Activation meetings, take ownership of assigned projects, managing timelines, resources, and deliverables to ensure successful completion.
  • Assist with on-boarding of new hires, contractors, interns, etc.
  • Coordinate special projects including colleague engagement forums (i.e., Communities, Op Plan prep sessions), team training initiatives, and external workshops, and ensuring smooth coordination between departments.
  • Provide exceptional customer support by addressing inquiries, resolving issues in a timely manner, and maintaining strong relationships with LT members and extended team.
  • Handle simultaneous ad hoc projects as requested on a daily basis for a speedy resolution.
  • Defines and executes the USLT communication plan, ensuring that specific US Oncology communications reinforce the enterprise communications.
  • Support LT’s professional development capability building (e.g., coordinate trainings and assessments, align training needs across LT teams)
Meeting Support
  • Support agenda development and dissemination, assembly and posting of pre-reads and presentations, capturing and tracking of meeting action items and notes, and following-up accordingly with all action items
  • Leads the organization of internal and external events (i.e. Townhalls, LT off-sites) in accordance with all relevant SOPs and Compliance requirements.
  • Organize and attend recurring meetings, including but not limited to: core team and extended team meetings, quarterly forums, monthly Franchise meetings
  • Provide full meeting support in planning and execution of various meetings including reserving video conference rooms, ensuring proper set-up and catering when appropriate, and acting as team contact for external visitors
  • For this, you will be the guarantor that the necessary approvals take place in our internal systems, as well as that the activities are carried out successfully on time and within the framework of the budget.
  • Collaborative Approach: Foster a team-oriented environment by actively engaging with various departments, sharing ideas, and contributing to cross-functional initiatives.
  • Process Improvement: Identify areas for improvement and implement streamlined procedures to optimize efficiency and productivity.

QUALIFICATIONS
  • Understand and assist in complete compliance to all processes and all relevant Pfizer SOPs
  • Professional maturity and presence with demonstrated ability to show good judgment and discretion; Discretion and trustworthiness in dealing with confidential situations
  • Can work across a matrix organization with many stakeholders and decision-making processes
  • Demonstrated proficiency of Pfizer internal systems such as SharePoint, ENGAGE, PT&E, Ariba, Yammer, GCMA/Veeva, Decideware
  • Works well with staff located across various sites, as well as with external contacts, to coordinate schedules and priorities
  • Demonstrated ability to identify priorities and exercise sound judgment in accomplishing work in appropriate priority order, based on own assessment of urgency and importance to ensure deadlines are met and leaders are prepared
  • Proven ability to manage day to day planning and operational activities including strong project, time management and organizational skills.
  • High level of proficiency with computers and various systems/platforms: Microsoft Outlook, Microsoft 365, Microsoft Teams
  • A proactive and self-motivated mindset with a high level of attention to detail.
  • Exceptional written and verbal communications skills
  • Problem-solving capabilities and the ability to adapt in a fast-paced and ever-changing environment.
  • Bachelor’s degree in business administration, marketing, communications or related field highly preferred or HS diploma 10+ years of applicable coordinator/administrator/communication experience working in a fast-paced dynamic environment, preferably in a commercial environment
  • Ability to work independently and take initiative while collaborating with a diverse team.
  • Demonstrates expert collaboration and relationship building skills by working proactively in a team environment to share knowledge, influence best-practices, and coordinate workflow.

The salary for this position ranges from $31.36 to $52.27 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies. Benefits offered include a retirement savings plan, paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
