Job Description

JOB DESCRIPTION - ACCOUNTING ASSISTANT / OFFICE MANAGER


Award winning Atlanta area Custom Home Builder has a need for a full- time Accounting Assistant / Office Manager with residential construction experience to join our team.


The Accounting Assistant / Office Manager handles the main functions of weekly Accounts Payable activities, Trade insurance requirements, and manages the office & design studio spaces and functions.

OFFICE MANAGER RESPONSIBILITIES:

  • Overall office presentation
  • Maintains Break Room, Conference Room, Restroom and supplies as necessary.
  • Coordinates office functions and plan/book Team Outings.
  • Coordinates in-office lunches (team meetings, company meetings, etc.).
  • Office supplies stocked / re-ordered.
  • Checks and processes mail daily.
  • Manages services / contracts (janitorial, printers, landlord, etc.).

ACCOUNTING / INSURANCE RESPONSIBILITES:

  • Processes all non-construction invoices (utilities, rent, etc.)
  • Sets up new Trade partners / vendors in related systems.
  • Handles vendor, trade / supplier issues related to payments, reconciliation, inquiries.
  • Maintains and tracks professional licenses, business licenses, and certifications.
  • Reviews all checks for accuracy.
  • Assists in other capacities as needed related to other departments.
  • Manages weekly PO payment processes (utilizing BuilderTrend exported reports)
  • Handles mailing of all weekly approved payments.
  • Maintains/manages Certificates of Insurance for all trades and participates in yearly audits.
  • Keys POs into Quickbooks for payment.
  • Runs weekly reports for active jobs / variance reports.

REQUIRED EDUCATION / EXPERIENCE

  • Quickbooks experience mandatory.
  • BuilderTrend experience a plus
  • Bachelor’s Degree or 5 years of relevant experience in Accounts Payable

QUALIFICATIONS & SKILLS REQUIRED

  • Self-motivated, works well without supervision.
  • High attention to detail
  • MS Office proficient
  • Ability to set priorities and meet various deadlines.
  • Ability to multi-task and manage multiple projects as needed.
  • Willing to establish and maintain effective internal and external working relationships.
