Job Description
GUGCS Office Assistant


Mission Statement: The Growing Up Green Charter School (GUGCS) supports children to be conscious, contributing members of their community through a rigorous, anti-racist, anti-bias, curriculum and an engaging green culture. Graduates of GUGCS will be prepared to attend high-performing schools where their interdisciplinary academic foundation, knowledge of sustainability, and strong sense of self sets them apart as leaders and social justice advocates of the future.


Operations


Create a neat, welcoming & organized office environment (Front desk should be clean and organize daily) Communicating with parents regarding all aspects of school life, receiving and passing on information, between parents and teachers/administrators, including phoning parents to ascertain reasons for pupils’ absence/lateness. Process late arrivals and follow-up with the families of absences and lateness. Note all calls and notes on OC (attendance Tab and Note Tab) and inform Office Manager and Operations Manager


  • Manage any issues with printers, restock with paper every day and throughout the day
  • Participate in professional development and training activities as required/necessary.
  • Support Parent Coordinator in parent meetings and events including set up, email communications to staff and printing promotional materials
  • Send out weekly enrollment updates and filling open student seats
  • Assist in receiving, counting, opening, unpacking, dating, stamping, recording, sorting and distributing incoming mail, documents, books, materials and supplies
  • Other task as needed
  • Maintain Lost & Found, organized and locked
  • Maintaining and updating student record in our online databases.
  • Assist with inventory control and inform Office Manager for low supplies
  • Clerical work as needed (copying, filing, mailings, etc.)
  • Send out email notifications to staff when a student leaves early and note on the school system for attendance report purposes.
  • Maintain school supply closet organized and stock
  • Assist each day with lunch/recess duty, dismissal and front desk coverage
  • Welcome parents & visitors maintains accurate visitor logs, respond to visitors & parent requests as appropriate
  • Organize and update student records
  • Assists in executing special projects (i.e. event set-up, research, cleaning, etc.) as assigned.
  • Draft enrollment flyers, mailers, and recruitment materials with support of Associate Director of Operations
  • Support in ordering during summer months and other high ordering times
  • Assisting with all admissions related tasks such as new parent registration

Minimum Qualifications


  • Excellent organizational skills

  • Proficient experience with Microsoft and exceptional computer skills

Education


  • Bachelor’s Degree in Finance, Education or other related field required
  • At least 1 to 2 years administrative experience, preferably in an educational setting


Required Certificates & Licenses: NYC DOE/Fingerprinting & Background Clearance


MINIMUM EDUCATION REQUIRED: 4-year degree
