General Summary
Responsible for the operations and administration side of a medical office. Plan, implement and continuously evaluate office operations to ensure efficiency, compliance and patient flow.
Primary Responsibilities
Light to medium physical duties include standing, walking, reaching, bending, talking for up to eight (8) hours a day. Must have good vision. Must be able to lift thirty-five pounds. Lifting will be primarily confined to occasional on premises lifting of boxes of office supplies and minor office equipment. Non-physical demands include performing multiple tasks simultaneously, the ability to meet multiple deadlines, judgement decisions and working closely with others as part of a team.

Primary Responsibilities
- Delegates responsibilities and assesses employee performance.
- Ensures an atmosphere of professionalism and friendliness and that all front office staff have the ability to deal with difficult calls in a calm and professional manner and are able to work quickly and accurately under pressure.
- Prepares accurate and timely reports and collects data for supervisor, as needed.
- Implements an effective appointment scheduling system to assure daily schedules are full, no show data is being reviewed, a recall system is in place and insurances are being verified to support physician capacity and patient satisfaction.
- Ensures that front office staff receives continuous training and are proficient in the Practice Software.
- Other duties as assigned by supervisor.
- Ensures that daily deposits, reconciliations and deposit reports are submitted to the accounting department in accordance with established procedures.
- Assures patient concerns are addressed according to written patient policies and procedures in a timely manner.
- Ensures proper petty cash oversight, purchase requisition completion, reporting, inventory maintenance, ordering and receipt of office supplies and assigned employee timesheet completion and approval.
- Implements operations consistent with programs that optimize best practices of patient care.
- Implements and trains staff in health center operational processes, policies and procedures.
- Maintain clean and safe facilities that meet all local, state, and federal requirements by reviewing Compliance Officer and Safety Officer Reports.
- Minimum of 3 years of successful administrative/ managerial experience in the primary health
- Minimum of 5 years in data driven, multiple doctor medical office is preferred
- Must have a valid driver's license and a safe driving record and be able to pass a pre-employment physical and a criminal history background check.
- High School Graduate
- Associate's degree in a related field is preferred
- Must be able to work well with others and understand and model the importance of teamwork.
- Bilingual is preferred (Spanish and English).
- S/he must have excellent communications skills, in written and oral forms are necessary.
- Must have knowledge of medical terminology.
- Leadership skills and ability to implement change with positive outcomes in a complex environment.
- Knowledge of Medicare, Medicaid, PPO, HMO billing, ICD-109, CPT and revenue codes preferred.
- Computer skills and experience with PMS and EHR systems is required.
