We are searching for an HR Generalist and Office Manager to join our agency client’s operations team. The right candidate will be eager to contribute to our

The HR Generalist and Office manager will partner with our client’s Human Resources Team and Head of People Operations to provide HR support our client’s staff and the day-to-day operations affiliated with running the office. The main goal of this position is to have a well-established, hybrid in-office presence for these support services as well as managing payroll and other HR operations. We are in a unique time with the need to support tasks and programs both in-person and remotely. A successful candidate will be well organized, flexible, curious, adaptable, and work independently.

As an HR Generalist and Office Manager, you will:
HR:
- Provide periodic reports including worker’s compensation insurance, quarterly payroll tax, W-2,
- Own the processing of timely and accurate payroll
- Maintain knowledge of payroll related federal and state regulations including minimum wage,
- Main point of contact for employment verifications
- FLSA criteria, meal and rest breaks, etc.
- Maintain company organization charts and the employee directory
- Support other HR functions
- Assist in the development and implementation of Human Resources policies and procedures.
- Review timesheets and notify appropriate parties of missing time or errors
- 1095-Cs, etc.
- Manage payroll reporting
- Submit pre-funding 401K contributions feeds from HRIS to the 401k financial services
Office Coordination:
- Provide reception coverage – answering front door and 800 incoming calls
- Office supply program management including inventory review, organizing, stocking and ordering
- Provide overall office support to the Head of People Operations on special projects as assigned
- Manage mail collection, distribution, and outgoing mail/packages
- Assist with the setup of client and internal meetings
- Regular interaction with employees to interpret their requests, while providing excellent customer service and managing expectations
- Other duties as assigned
- Main point of contact for building management
- Coordinate IT Support and machine replacement with an outside vendor.
- Assist in planning and coordinate internal events and functions including schedule, location, theming, food, entertainment, and other support services
- Building fob management
- Manage office move, should the company move locations
Who we’re searching for / About you:
- Strong project management skills and attention to detail
- Understanding of Payroll Federal and State compliance regulations
- 1+ year managing payroll
- Working knowledge of Google Workspace (Docs, Sheets, Slides) a plus
- Self-motivated and proactive with demonstrated creative and critical thinking capabilities
- Ability to prioritize tasks
- High emotional intelligence and excellent communication skills - verbal and written
- Problem solver with the ability to anticipate and mitigate risk
- 3+ years of experience in an HR and office support role
- Strong organizational skills coupled with attention to detail and follow-through
- Strong customer service orientation
- Excellent communication skills
- Ability to work effectively within deadlines
