Position Title: Executive Assistant


  • 1st Shift
  • Monday - Friday
  • Waterford, CT


The Executive Assistant is responsible for a wide-range of executive administrative functions for the Division President. This includes the handling of confidential company and employee information involving a variety of situations requiring discretion and judgment to accomplish goals and support the needs of the Division.


  • Directly manages the mailroom associates and oversees the mailroom functions, ensuring efficient operation and processes are in place.
  • Manages business supply inventory for Division office.
  • Acts independently to address the needs of the Division President, VP Human Resources, and CFO. Makes appointments, plans meetings, drafts, prepares and distributes correspondence that may include internal communications, letters, contracts and other related highly sensitive and confidential materials.
  • Key internal and external contact for the Division. Serves as a primary point of direct administrative contact and liaison with Corporate on a range of specified issues as required.
  • Manages and executes projects individually and in support of the Division following through on issues and meeting deadlines.
  • Manages complicated professional calendars to include travel, appointments, meetings, etc.
  • Coordinates and plans travel logistics, anticipating and securing travel arrangements and providing administrative expense management support as needed.
  • Other duties and projects as assigned.

  • Proficient working knowledge of Google suite applications and Microsoft Office (Word, Excel)

  • Creative problem solving skills.
  • Prior executive administrative and/or office management support experience desired; previous experience working with highly confidential and sensitive information preferred.
  • May require the ability to work outside normal business hours.
  • Detail-oriented.
  • Employee may occasionally be required to traverse through office locations.
  • Interpersonal skills with ability to deal with difficult situations in a diplomatic and professional manner.
  • High School Diploma or GED Required. Associate’s degree or higher preferred.
