Job Description

Nature and Scope

USDM is seeking an experienced Administrative Assistant to support our biotech client in Stamford, CT. The right candidate will be a positive, proactive individual who enjoys working with and supporting various Leaders and their teams across multiple Business Functions. We seek a detail-oriented professional excited to contribute to our mission, learn and grow within the role.

Primary Responsibilities

  • Provide administrative support including heavy calendar management and cross functional meeting coordination, travel and expense management, as well as other administrative tasks.
  • Assist with other special projects as needed, including assisting with external vendor coordination and support for projects as needed.
  • Answer non-routine correspondence and assemble highly confidential and sensitive information.
  • This position will support a team and this individual will need to interact with internal contacts at all levels of the Client's organization as well as a diverse group of important external partners and vendors. Independent judgment is required to plan, prioritize and organize a diversified workload and recommend improvements in office practices or procedures. Responsibilities include:
  • Coordinate and facilitate the use of conference rooms for team and vendor meetings.

Qualifications

  • Positive, eager and helpful attitude.
  • Minimum of 5+ years in a comparable Administrative Support role with a preference for experience within the Biotech or Pharma environment.
  • Effective collaborator with a variety of stakeholders, thoughtful listener and team player.
  • Enthusiastic, self-motivated and keen to improve processes and overcome inefficiencies.
  • Professional demeanor and excellent written and verbal communication skills.
  • Able to bring a proactive and creative approach to problem solving.
  • Able to maintain a calm, patient and “can-do” approach.
  • Able to work within a fast-paced environment, adept at juggling multiple tasks and priorities and prioritizing independently.
  • Conscientious, detail-oriented, well-organized and takes initiative to anticipate and address needs.
  • Proficient in Microsoft Office suite and applications.

Please note: this role requires an on-site presence from 8:30am-5pm, Tuesday and Wednesday of each week.

Compensation

Salary/Hourly Rate Range (W2): USD 30.00 - 40.00

The base salary/hourly rate range represents the anticipated low and high end of the USDM’s compensation range for this position. Actual salaries/hourly rates will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies, and proficiency for the role. The compensation described above is subject to change and could be higher or lower than the range described based on market survey data or budget.

Full-time employees are eligible for health, vision, and dental insurance, life insurance, short and long-term disability, hospital indemnity, accident, and critical care coverage.

Both full and part time employees, who are at least 21 years of age, are eligible to participate in USDM's 401k plan. Full and part time employees may be eligible for paid time off.
