Job Description
Reporting to the Vice President, Sample Management at our Evotec Branford, CT location, theAdministrative Assistantwill assist in the routine operations of a shared office and laboratory space supporting Sample Management. In this hands-on administrative role, the successful candidate must be a competent, self-directed individual who employs a high level of autonomy. The primary focus is on support of G&A items, cross site coordination and purchasing lab and office consumables, with guidance from the site management.


Responsibilities


  • Work in collaboration with operations staff on special projects to achieve objectives.
  • Provide administrative support to the VP, Sample Management and management team liaising with HR, Payroll, IT, Procurement, Finance, etc. when necessary.
  • Enable enhanced organization, cleanliness, and safety in the office areas and overall facility.
  • Respond to administrative related requests from staff members and escalate as appropriate.
  • Act as the point person for disseminating information from global teams, organizing trainings, and Client and visitor site visits and tours.
  • Use established ordering system to procure sufficient inventory stock levels of consumables, solvents, and supplies essential to the operation of the laboratory.
  • Assist in scheduling interviews and organizing onsite tours for candidates.
  • Interface with vendors and facilities.
  • Provide support for onboarding of new hires and payroll preparation including gathering timesheets and potentially training new hires.


Qualifications


  • Outstanding organizational skills and ability to prioritize multiple tasks and/or projects, inventory management and ordering.
  • Desire to be part of a team-focused environment.
  • Bachelors degree preferred
  • Customer service focused, with an excellent work ethic and an optimistic attitude.
  • 3-4 years of administrative experience required.
  • Detail-oriented with specific attention to quality control and getting things right.
  • Proficient in all Microsoft Office applications.
  • Personable and articulate, with strong written and verbal communication skills.
  • Familiarity with sample handling or pharmaceutical industry is a plus.
