Position Description


The Executive Administrative Assistant provides direct support to the CEO and other key Executives and works as a member of the ROP Minden administrative team. The Executive Administrative Assistant ensures effective liaison, appropriate confidentiality, and coordinates with internal and external stakeholders on all matters pertaining to the office of the CEO. He/she/they act as a liaison to senior management teams; organize and coordinate executive committee meetings and events; represent the CEO in meetings and calls as appropriate; and coordinate key customer/stakeholder engagement efforts. This in-person position is based out of our administrative headquarters in Minden, NV.


Duties And Responsibilities


  • Plan and coordinate complex travel plans and itineraries while ensuring the CEO's calendar is organized. Provide regular, detailed communications and reminders to CEO regarding travel, schedule, appointments, meetings, etc.
  • Complete a broad variety of administrative tasks for CEO and other key Executives including (but not limited to): managing an active calendar of meetings and appointments; composing, preparing, and editing CEO communications and presentations; assisting in coordinating and scheduling CEO’s meetings and Executive Committee meetings as directed.
  • Monitor and reconcile Executive credit cards.
  • Put together meeting materials, presentations, and reports; analyze data and information, and summarize for CEO.
  • Some travel required.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
  • Prepare internal and external communications, memos, and meeting minutes.
  • Plan, coordinate, and support in-person executive meetings, retreats, and summits (as required).
  • Perform other job-related duties, as assigned.


Skills And Qualifications


  • Ability to work independently and collaboratively.
  • Experience supporting C-suite Executives, preferred
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders.
  • Strong organizational and time management skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
  • High School Diploma/GED
  • Ability to pass a criminal background clearance, drug screen, physical and TB test.
  • Must be self-motivated and solution oriented with ability to thrive in a multi-task environment, while maintaining focus and attention to detail.
  • Ability to operate with a high degree of discretion, professionalism, and confidentiality.
  • 3+ years of experience in fast-paced administrative role(s)
  • Proficient in Microsoft Office Suite and Adobe Acrobat.
  • Excellent written, verbal, and in-person communication and presentation skills including the ability to communicate with all levels of the organization and key external stakeholders (including high-ranking government officials).
  • If required to operate a company vehicle during the course of employment, must meet the requirements to be an eligible ROP driver. Must possess a current State Driver’s License and have an acceptable driving record for the past three (3) years.
