Job Description
Overview and Essential Functions Overview: Join our team! VCI Construction is looking for an Administrative Assistant that is efficient and enjoys working as part of a team. This position requires the ability to multitask while keeping complex schedules and handling administrative support. The ideal Administrative Assistant applicant is resourceful, organized, and a skilled problem solver. Assuring consistent workload completion in a timely manner is critical to success in this Administrative role. What you will do: The Admin Assistant maintains electronic filing systems Records, files, and proficient at emails. Assists in obtaining permits and licenses Maintains project records Maintains subcontractor contacts Notifies Safety Department of crew locations Verifies invoices to shippers Verifies quotes to invoices Codes invoices for project manager approval, issues, and maintains PO log The Admin Assistant will maintain various job trackers (Excel) Administrative Assistant will collect, assemble, and report production daily. Process billing (units/firm bid) Completes digital as-built drawings and works with Operations Staff. Updates job tracking reports Prints drawings, documents, monitors, logs, and submits new bids Administrative Assistant will check time-sheets to ensure they are filled out correctly Coordinates with internal accounting staff to provide reports and forms as requested The Administrative Assistant will provides assistance to Project Manager, Supervisors, and field employees as needed Performs other related duties as assigned. Qualifications Who we are looking for: Must be able to pass a pre-employment drug screen and background check. Proficient with Microsoft suite ( Excel, Word, etc.) Organized Fast learner Self-starter - Able to work on their own, comfortable taking on responsibilities without having to be continually directed. 2-5 years relevant experience Good people skills. Able to comfortably interact with management, fellow employees, third parties, etc. in a positive manner. Must be able to follow instructions and directions to perform job tasks. Possesses good verbal and written skills. Must help to solve problems as opposed to starting, adding to or feeding on them. Ability to multitask several assignments simultaneously. Additional Skills (not required but would be beneficial): Construction industry experience.
