Job Description

Summary: Leadership Events Director reports to the Sr. Director of Event Experiences. This high-profile position oversees the planning, development, and implementation for ASTHO’s leadership events, including ASTHO’s TechXpo and Futures Forum, Annual Membership Meetings, and Leadership Retreats.

Location: Remote

Anticipated salary: $90,000 Extended experience: up to $107,500 if experience exceeds expectations

Principal Functions:

  • Keep all project stakeholders informed throughout project life cycle: pre-event, live-event, and post-event
  • Development and management of event specifications and run of show documents to ensure successful execution of ASTHO leadership events (ensuring proper orders, time and transition allotments, and adequate staffing necessary for events)
  • Ensure that ASTHO meets obligations (e.g., deposits, catering counts, rooming lists, final payment, etc.) to hotels/venues and/or other vendors
  • Collaborate with Director of Programmatic Events to develop and maintain ASTHO event guidelines, provide consistent communications to ASTHO Staff, and support staff orientation and onboarding
  • Manage and develop leadership event support staff
  • Consult with project teams and/or external clients to conceptualize and design events based on their needs
  • Review, negotiate, and execute event contracts for ASTHO’s leadership events to ensure appropriate terms and clauses are incorporated
  • Oversee scheduling of ASTHO leadership events and maintain the “OneASTHO Calendar” in coordination with Event Experiences Coordinator and develop and maintain leadership calendar for ASTHO members
  • Keep current on trends, changes, and relevant technology and platforms within the virtual and hybrid event industry to improve the quality of ASTHO’s products
  • Travel to and provide on-site event management for ASTHO leadership events
  • Ensure proper close-out meetings, including invoices, and CB/TA tracking
  • Monitor and evaluate leadership events for effectiveness. Incorporate feedback and quality improvement into operating practices
  • Identify and manage relationships with relevant vendors including AV service providers, printers, live streaming companies, etc.
  • Oversee site and vendor selection to include development of RFPs and/or outsourcing site selection
  • Prepare and monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of problems as needed
  • Responsible for all aspects of the planning, coordination, execution, and close out of each event, and this position will require a high level of collaboration and communication across the organization to ensure the success of each event
  • Liaise with IT, Communications, Design, Engagement, and any other relevant internal staff team to assist in the successful promotion of leadership events
  • Supervisory responsibilities include interviewing, hiring, training, motivating, evaluating, and implementing HR policies and procedures as directed

Qualifications:

  • Demonstrated ability to convene and collaborate with multiple parties with varying interests and priorities
  • Managerial or supervisory experience
  • 7+ years of event planning experience
  • Significant knowledge or experience with various hybrid and virtual event platforms and audio/visual technology products and vendors
  • Extensive experience in lead management of leadership-level events in various formats: in-person, hybrid, and virtual
  • Attention to detail and strong project management skills required
  • Ability to multitask and troubleshoot problems in a heavy volume, high paced environment
  • Bachelor’s degree in a related field
  • Experience working for membership association and/or government officials is preferred
  • Strong verbal, written, presentation, and interpersonal communication skills
  • Ability to travel up to 40% is required
  • Certified Meeting Professional or Event Management Certification preferred
