Responsibilities


What You’ll Do


Manage member communication and outreach and provide administrative and professional support to the Executive Producer, Coordinating Producer, Sr. Manager of Partnerships, Digital Manager, and Awards Manager in the production of the SAG Awards and with National Programming responsibilities.

  • Manage member communication and outreach during pre-nom and post-nom phases.
  • Manage G-Suite logistics and email lists.
  • Manages award inventory and shipping.
  • Executes other duties as assigned.
  • Assist Executive Producer, Coordinating Producer, Sr. Manager of Partnerships, Digital Manager, and Awards Manager with professional support, which includes but not limited to scheduling appointments and meetings, managing staff calendars, research, travel, industry outreach, planning and executing of SAG Awards and National Programming and Special Projects events
  • Coordinate invoicing for submissions, mailings, ticketing, and other areas as assigned.
  • Assist with National Programming budget, including check requests, payments and tracking.
  • Assist with Q&A e-blasts, website updates, social media.
  • Oversee staff confidentiality agreements which includes maintenance of database, as well as, distribution and collection of agreements from new production staff .
  • Coordinates SAG Award viewing parties.
  • Works with Sr Manager of Partnerships, Digital Manager and Awards Manager to oversee interns.
  • Coordinate and vet submission eligibility . Performs signatory checks for submitted titles.

  • Self-starter
  • Able to accurately type 35 WPM
  • Must be able to work in a challenging environment where constructive feedback from others is encouraged
  • Must be available and willing to work extended hours (and/or overtime for applicable non- exempt positions) per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs
  • Must be able to maintain confidentiality
  • Capable of working as a team member as well as independently
  • Able to organize, prioritize and coordinate multiple tasks under daily deadlines
  • Must be available and willing to move to the off-site production office and award show venue for a few months of the year.
  • Detail oriented
  • Have an understanding and awareness of worker rights impacting SAG-AFTRA members
  • Able to communicate effectively in English, both orally and in writing
  • Able to use PC applications
  • Proficiency in MAC applications and MS Office Suite, including Word, Excel, and PowerPoint
  • Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion
  • Able to work under pressure
  • Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs
  • Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally
  • Hold yourself and others accountable for a high level of performance and integrity.
  • Capable of taking direction from more than one supervisor


Minimum Qualifications


Education and/or Experience:


  • Minimum 1-year awards experience preferred
  • Bachelor’s degree preferred
  • Minimum 2 years executive assistant experience in a fast-paced environment required
  • Minimum 3 years’ experience in the entertainment industry required
