Job Description

Job Summary:

The Specialist will provide exceptional support to the Senior Manager, Member Relations and Awards. Responsibilities include providing administrative and logistical support to awards submission processes for the Animation, Documentary and Short Film categories, as well as the Documentary, Makeup Artists & Hairstylists, Producers, and Short Films & Feature Animation Branches. The Specialist will work collaboratively in a team with a Senior Manager, Manager, and Senior Coordinator. Other responsibilities include logistical support for meetings (Branch Executive Committees, Executive Committees, Task Forces) and special events. The Specialist is extremely organized, efficient, able to anticipate the needs of this job, and able to provide feedback and innovative ideas to help improve workflow. In addition to being a proactive team member, the Specialist is tech-savvy and an excellent communicator.


Duties and Responsibilities:

  • Assist in compiling materials for the Membership Review process.
  • Other duties and special projects as assigned by the Senior Vice President and Senior Manager.
  • Help with member voting eligibility and viewing assignments for the Animation, Documentary, and Short Film categories.
  • Review, proofread and edit a variety of documents for accuracy, proper formatting, and spelling to ensure consistent output.
  • Primary support to Member Relations and Awards management team.
  • Provide logistical support including Branch Executive Committee meetings, Executive Committee meetings, Task Force meetings, screenings, public events, check-in for Membership and Oscar-related special events.
  • Create and maintain data, demographics, records, and documents pertaining to the aforementioned branches and award categories.
  • Provide administrative support and facilitate the delivery of required materials for films submissions for the Animation, Documentary, and Short Film categories.

Qualifications and Requirements:

  • Ability to work cooperatively with Academy members, colleagues in the Member Relations and Awards team, other Academy departments, and outside companies.
  • Ability to work and meet deadlines under pressure and change tasks as needed.
  • Bachelor's degree preferred.
  • Strong proficiency in Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint); Experience with relational databases recommended; CRM and Airtable desired.
  • Availability to work some nights and weekends, sometimes on short notice.
  • Highly professional verbal and written communication skills with special attention to detail and accuracy.
  • 1-2 years prior administrative experience, preferably in the film or entertainment industry.
  • Must have reliable transportation.
  • Ability to work with discretion and professionalism in certain environments such as environments with high level executives, VIPs, Board of Governors, Academy Members, and the public.

The expected starting hourly rate for this role is $23.00 The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
