Job Description

The Award Manager within the Office of Sponsored Programs and Research (OSPAR) supports the Principal Investigator (PI) in managing sponsored awards granted to the University and internally funded research projects. The Award Manager works closely with researchers and stakeholders across the University, including within OSPAR and Finance, to manage the financial and non-financial administrative aspects of their awards, providing guidance and navigation through the post-award lifecycle and institutional processes. This position will also be responsible for gathering and maintain sponsored programs and research metrics and reporting them to the Vice Provost for Research. The Award Manager will report to the Senior Director, OSPAR.

Responsibilities include:


Sponsored Award Program Management – 25%

Review incoming award documents to develop a foundational understanding of technical scope, as well as administrative and financial requirements, milestones and timelines.


Prepare for and facilitate an award kick-off meeting to review award requirements, roles and responsibilities and navigate the PI through the administrative steps (including purchase and spend initiation).


Monitor deliverables and upcoming deadlines to inform PI and other stakeholders, support the prepare and review or submission as necessary, and track completion.


Assist the PI with navigating the NYIT administrative infrastructure and processes for sponsored award spending and institutional approvals.


Financial and Compliance Award Monitoring – 35%

Prepare regular award financial status analyses and hold meetings with each PI to review overall financial and administrative status of the award, including:

  • Personnel time and salary allocations with a focus on potential need for adjustments,
  • Changes or impacts to technical scope,
  • Potential need for prior approval requests or other sponsor communications.
  • Overall budget health, including award balance, projections and burn rates,
  • Allowability of expenses with a focus on high-risk areas and potential need for adjustments,
  • Anticipated costs for upcoming period and tasks to initiate those expenses, and


Prepare documentation to request cost transfers as identified and agreed upon with the PI, including documenting a sufficient and robust justification and working to get approvals as required by NYIT policy.


Partner closely with Finance to communicate and review award accounting accuracy, transaction processing and internal and external reporting requirements.


Emphasize and review for compliance with Uniform Guidance (UG), sponsor specific requirements, and institutional policy throughout the award lifecycle.


Other Sponsored Award Administration Activities – 20%

Review payroll charges with PI during the sponsored project compensation certification cycle to confirm or correct sponsored project payroll charges; prepare cost transfers to correct for identified errors.


Track committed effort for PI and other key personnel against actual effort and identify when prior approval is required for effort adjustments.


Prepare and maintain effort reporting for all employees on sponsored programs and research.

In partnership with the PI, review and execute subrecipient monitoring plans.


Assist with accounts receivable collections as needed to ensure NYIT is paid in a timely manner.

Data and metrics: preparing, analyzing, forecasting and maintaining all data and metrics as it pertains to sponsored programs and research and providing information to the Sr. Director and the Vice Provost for Research.


Escalate identified compliance concerns within NYIT research leadership when necessary


Customer and Faculty Assistance – 20%

Serve as the primary contact and post-award subject matter expert for PIs for their research funding and facilitate PIs connection to additional administrative resources when needed.


Assist with preparing sponsor communication for awarded projects as needed, including prior approval requests.


Ensure excellent customer service with research community, other administrators, and sponsors.


Qualifications:


  • Bachelor’s degree from an accredited institution of higher education; Advanced degree preferred.
  • Demonstrated planning and workload balancing skills to enable management of competing deadlines and concurrent proposals;
  • Demonstrated knowledge of OMB UG, Cost Accounting Standards, Federal Acquisition Regulations, NIH GPS, NSF PAPPG; and other major funding agency guidelines.
  • Strong customer service orientation to support a research-centric institution and developing faculty researcher population;
  • Strong written communication skills to assist with various formal and informal written communications with internal and external stakeholders;
  • Ability to work independently, meet deadlines, and enjoy a work environment that shifts with the various tasks and timelines;
  • Ability to leverage raw financial system data and navigate Microsoft Excel to create meaning in the context of the award, including creating clean formatting, generating pivot tables, and leveraging formulas;
  • Well-organized with an attention to detail when reviewing expenses for accuracy, allowability, and allocability;
  • Sponsored programs and research administration and/or University accounting experience preferred;
  • Excellent verbal communication skills in order to lead and facilitate efficient meetings and provide clear, effective information to faculty and other stakeholders;
  • Proficient in Microsoft Office Suite, including Word, PowerPoint and Excel to facilitate various communications and information presentation with internal and external stakeholders;
  • Three (3) or more years of experience in administrative services at a higher education or research institution;
