Position Overview
Performs complex and diverse administrative duties, assists in administrative problem solving, program/project planning, development, and execution of stated goals and objectives.
- Assists in the coordination, supervision, and completion of special projects as appropriate.
- Provides and/or oversees support activities for the unit such as answering telephones, assisting teleconferences, resolving problems and inquiries of visitors, review and control of incoming and outgoing correspondence, and follow-up on operational commitments.
- Establishes, updates, and maintains department’s files, inventories, and records; implements and maintains data management systems.
- Maintain the departmental database and files and manage departmental records, including staff vacation/sick leave reports, time reports, status forms, and other personnel reports. Assist in maintaining office equipment and purchases.
- Schedules appointments and maintains calendars; coordinates and facilitates meetings, facilities usage, events, conferences, and/or travel arrangements.
- May supervise one or more clerical staff or coordinate work of temp and/or interns.
- Performs a range of diverse administrative activities for the department, serves as a central point of liaison with other departments and external constituencies in the resolution of a variety of day-to-day matters concerning the department.
- Performs miscellaneous job-related duties as assigned.
Minimum Qualifications
- 2 years’ experience as an administrative support in a managed care setting required.
- Requires solid written and verbal communication skills as well as project management skills.
- Associate’s Degree required; Bachelor’s Degree preferred.
- Must know how to use Microsoft Office applications including Word, Excel, and Access. Capacity to perform access queries preferred.
- Must demonstrated ability to maintain confidentiality, and to make administrative/procedural decisions and judgments
