Reporting to the Chief Engagement Officer, the Administrative Coordinator will be responsible for providing day to day administrative support to the Office of the Commissioner and is the primary back-up for the Commissioner’s Executive Assistant. Responsibilities include, but are not limited to:
  • Serving as the HR business partner for the Commissioner’s Office (e.g., submitting new hire and promotion requests, fielding HR questions from Commissioner’s Office staff, inputting requests for IDs and equipment for staff).
  • Assisting with the hiring process for Commissioner’s Office staff (e.g., vetting resumes, drafting interview questions, scheduling and/or participating in interviews).
  • Logging, tracking, reviewing, and responding to inquiries and correspondence received in the Commissioner’s Office timely and accurately.
  • Serving as back-up to the Commissioner’s Executive Assistant (e.g., answering phones, managing the commissioner’s schedule/calendar, greeting visitors).
  • Providing quality assurance for all documents being sent or published on behalf of the Commissioner (e.g., memoranda, policies, internal/citywide reports). This includes interacting with abovementioned documents’ creators to understand content and ensure accurate and intended messaging. Making corrections as necessary, ensuring timely delivery of final document(s).
  • Coordinating virtual internal/external agency meetings and managing the use of the Commissioner’s Office Zoom license(s).
  • Supporting the Commissioner’s Office event planning efforts (e.g., quarterly all-staff town hall meetings).
  • Coordinating/leading quarterly Commissioner’s Office meetings (e.g., developing the agenda, identifying speakers/topics for discussion, hosting meeting).
  • Managing the Ask the Commissioner mailbox, which allows staff to submit their ideas, recommendations, and questions to the Commissioner.
  • Performing other job-related duties, as assigned.
  • Preparing written communications, such as memos, letters, PowerPoint presentations, reports, and instructional documents, as needed.
  • Serving as the Cyber liaison for the Commissioner’s Office staff to provide them with cyber security related information and resources. Participating in monthly related meetings hosted by the DCAS Cyber Security team (agenda items include but are not limited to cyber operational and security policy issue updates, cyber awareness training and reminders on DCAS cyber landscape).
  • Serving as the IT liaison for the Commissioner’s Office (e.g., securing laptops, iPads, cell phones, VPN access, data subscriptions, and approval on IT related purchases).

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
