Provides administrative support to the Chief of Staff and the Administrative Manager. Issues contracts/invoices and prepares deposits for Clemson World advertising, manages deparment VISA accounts, orders supplies, maintains subscriptions and memberships. Prepares PO's and assists with vendor registrations. Provides backup support to the Administrative Coordinator II in the Office of the VP, Marketing & Communications. Serves as receptionist and assists with daily office operations and student supervision. Provides assistance with coordinating and scheduling staff development opportunities and training. Other duties as assigned.
JOB DUTIES:
45% - Financial Management: Enters invoices into Cherwell system for processing/payment; Prepares PO's assuring accuracy and submits to FSS for processing; Assists new vendors with buyWays registration process; Provides assistance to staff with travel payments and reimbursements using the Concur system; Handles VISA receipts for the division including monthly reconciliation; Prepares contracts/invoices/deposits for Clemson World advertising and manages the Pitney Bowes postage account; manages subscriptions and memberships for the division; orders name badges & business cards for the division.
25% - Administrative Management: Provides administrative support to the Chief of Staff, Administrative Manager and others in the division as requested; Assists with daily office operations and student supervision; Receives/sorts/prioritizes/distributes mail and other incoming deliveries; Coordinates daily work schedule with and provides backup support to the Admin Coord II; Assists the VP with reminders in order to stay on track with daily meetings.
15% - Special Projects: Works on special projects as assigned by the Chief of Staff and Administrative Manager; Maintains up-to-date list of all current staff members in the division; Staff Development Training to include: Coordination of staff development opportunities for MarCom team; Oversight of Tuesday Training sessions for staff; Staff retention programming - special speakers/guests; Coordination and administration of employee profiles (evaluation, testing, etc.), awards and recognition for staff.
10% - Customer Service: Serves as receptionist and point of contact for the Trustee House; Opens and closes main lobby and maintains appearance of lobby; Provides excellent customer service in person and over the phone by greeting visitors, answering questions and giving directions; Answers telephone business set, screens and directs calls; Answers questions as appropriate from general public, news media, University administrators, staff, parents, students and other sources.
5% -Operations/Equipment Management: Orders and maintains supply inventory; Follows all departmental, university and state purchasing guidelines; Troubleshoots problems with office equipment and serves as liaison for service on equipment, building maintenance and recycling pickups; Schedules use of departmental golf cart and maintains log of use, requests maintenance/repairs as needed and ensures proper parking; Manages stock of items such as banners, podium signs, stanchions, etc for use at media/other events and keeps a sign in/out log for these items; Keeps break room organized and well stocked with snacks, soft drinks and assorted coffees that are purchased by staff members and replenishes items as necessary; Works with Ready Refresh to schedule deliveries and requests maintenance on equipment as needed.
MINIMUM REQUIREMENTS:
Education: High School
Experience: 1+ years
PREFERRED REQUIREMENTS:
Work Experience: 1+years in an office setting; Higher Education experience preferred
