The Clerk II works a day shift, 8:00 AM to 5:00 PM in our Transcription Services Department.
The Clerk II performs complex (journey-level) clerical work providing clerical support to assigned Treatment Team physician and providing back-up clerical support to other Treatment Team physicians as needed. Primary duties include receiving and transcribing dictation within the designated timeframe, posting and verifying CRS billing within the designated timeframe. Responsible for tracking and monitoring the Coordinated Court List to ensure that Physician Certificates for court commitments and court ordered medications are completed by the physician and returned to HIMD within the designated timeframe. Provides clerical support during assigned agency holidays, state holidays, and weekends. Additional duties include routing Professional Building mail on assigned days; answering the telephone and routing calls/messages; making copies, keeping records of, assembling, and organizing materials used by the physician in completing work assignments. Assists Treatment Team physician in additional assignments as requested.
Essential Job Functions
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Residents, Interns and Students Liaison: a) Serves as coordinator for Residents, Medical Student, and Physician Assistants students. b) schedules rotations. c) prepares orientation schedules for PGY-1 residents.
  • Serves as the backup to the Medical Staff Coordinator completing Medical staff credentialing files when needed.
  • Medical Equipment Coordinator. a) Coordinates the tracking of Emergency Medical Checklist and EKG Checklists. b) Maintains Medical Equipment Inventory database. c) Coordinates scheduling of Performance Maintenance of Medical Equipment.
  • Assists in developing databases, compiling and analyzing data, making calculations and prepares reports.
  • Serves as recorder for Quality Management Department as needed a.) back up recorder for Medical Staff Coordinator. a) organizes meetings, prepares agendas, records minutes, and prepares data for Performance Improvement Initiatives and quarterly reviews.
  • Provides Quality Management Support. Develops, coordinates and maintains record keeping and filing systems.
  • Coordinates special projects to meet Quality Management and Hospital needs.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities
  • Ability to deal and communicate effectively with staff and visitors.
  • Ability to effectively utilize Word 10 and Excel 5.0. Proficient written language skills including grammar and spelling.
  • Ability to organize and prioritize work and effectively manage time.
  • Understanding of filing, typing, office equipment including computer.
  • Basic knowledge of principles of office management.
  • Ability to follow complex written and verbal instructions.

SALARY NOTE: The posted salary range reflects the minimum and maximum allowable by state law. Any employment offer is contingent upon available budgeted funds.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals.
