Job Description

Administrative Asst II
Completes data entry for all requests received for fair hearing and program violation cases. Schedules hearings and prepares hearing notices. Responds to all inquiries (via telephone and in writing) and/or forwards the information to the appropriate party. Researches and prepares correspondence, including appropriate mailing of letters and notices related to Fair and Fraud Hearings. Organizes and maintains files. Completes other duties as assigned by the Hearings manager.
Essential Job Functions
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. Receipt of and processing of Hearing requests (receipt, checking for accuracy, scheduling, and sending appointment notices). Typing of correspondence. Data entry into computer data bases including TIERS and EXCEL. Sorting and distributing mail and correspondence (includes faxing, copying). Communicates on a complex level with others (internally or externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve problems or complaints. Communicates effectively with staff, appellants and their legal representatives to gather and convey information regarding Fair and Fraud Hearings.
Knowledge Skills Abilities
Knowledge of using personal computers, software, and data entry into complex data bases and use of Microsoft Software.
Knowledge of Business English, including spelling, grammar, and punctuation.
Ability to compose correspondence, summaries, and other documents or reports.
Ability to proof and/or edit documents.
Ability to follow oral and written instructions.
Ability to work independently.
Ability to organize and prioritize work.
Ability to answer telephone calls in a professional manner and communicate information clearly and effectively to a wide variety of parties.
Bilingual - English/Spanish Preferred, But Not Required.

Initial Selection Criteria
Experience working in a generic administrative or clerical job.
Experience Composing Correspondence, Analyses, Summaries, Or Other Documents.
Experience using Microsoft Office software for word processing and/or composing documents.
Experience using a personal computer for inquiry and data entry.
Experience handling inquiries.
