The Administrative Assistant provides support to the sales department in its work to fulfill the Company’s education focused mission. The Administrative Assistant is responsible for organizational and procedural tasks that are critical to the functioning of the sales department leadership team and staff.
Essential Responsibilities:
Administrative Support:
- Document and circulate meeting notes and follow-up actions, tracking until completion.
- Own scheduling and coordination of departmental meetings, ensuring efficient use of time and resources.
- Develop, distribute, and maintain meeting agendas, ensuring all pertinent discussion points are covered.
Material Management:
- Coordinate the printing and shipping of specified materials to clients, prospects, and team members, ensuring timely delivery and accuracy.
- Maintain and update key sales resources such as the Sales Team Handbook, Sales Playbook files, PowerPoint decks, Proposal Templates, and Microsoft TEAMS shared folders.
Calendar and Time Management:
- Manage the departmental calendar, coordinating scheduling for meetings, onboarding events, and other department functions.
Client and Vendor Document Management:
- Maintain critical client documents including district-required vendor documentation and Sole-Source Letters.
Expense and Budget Management:
- Assist with expense reporting and tracking, ensuring all expenditures are accurately recorded and reconciled.
Accountabilities:
- Ensure communication is clear, timely, and effective across all levels of the department.
- Coordinate shipments efficiently and effectively.
- Promptly and professionally answer calls, providing excellent customer service.
- Deliver work output on time and with a high level of expertise.
Skills and Qualifications:
- Demonstrated ability to maintain project deadlines and organization while multi-tasking
- Working knowledge and understanding of Microsoft Office Suite including: Word, Excel, Publisher, Outlook, and Teams
- Excellent verbal and written communication skills
- Ability to work independently to accomplish assigned tasks
- Enjoy working with a team to achieve shared goals
- Professional customer service skills; able to answer the phone and transfer calls efficiently
- At least one year experience as an administrative/executive assistant or customer service provider
- High school diploma or Associate Degree
- Strong work ethic, ability to self-start, and pay attention to detail
Physical Requirements/Work Environment:
- The use of standard office equipment/computers and moderate physical work (lifting 40-50 pounds) is required
